Bring your data into Toggl: which importer to use

This guide is for admins and individual users who want to move existing time data into Toggl, whether it lives in Toggl Track, Toggl Plan, another tool or a spreadsheet. It compares the available importers in one table and gives you a short decision list so you can pick the right one. By the end you will know which importer to open, where to find it, and which article has the step-by-step instructions.

To bring data into Toggl, open Admin Settings and go to Data import, under Connections. Use the Toggl importer for data in Toggl Track or Toggl Plan, and the Universal CSV Importer for a CSV file from any other tool or spreadsheet. If you only want your own Toggl Track data on your phone, the mobile app has its own Import from Track option. Importing is a copy: it never changes or deletes the data in the source.

Which one should I use?

  • My team is on Toggl Track and I want everything to come over. Use the Toggl importer. It copies clients, projects, tasks, tags, time logs, members and rate history for the whole workspace. See Importing data from Toggl Plan and Toggl Track to Toggl.
  • I use Toggl Plan. Use the Toggl importer. It brings projects, tasks, statuses, teams and team members. Same article as above.
  • I’m a Toggl Track user and just want my own recent data on my phone. Use the mobile importer. It copies your own data for the last two weeks and the next two weeks. See Import your Track data into Toggl on the mobile app.
  • My data is in another tool, or in a spreadsheet. Export it as a CSV file and use the Universal CSV Importer. You map the columns once and can save the mapping for next time. See Universal CSV Importer.
  • I want Toggl Track and Toggl to stay up to date with each other. An import is a one-time copy. To keep changes flowing after it, turn on live sync as well. See Live sync between Toggl Track and Toggl.

Before you import

  1. Check your role. Importing needs an admin role. If you don’t see Data import in Admin Settings, ask an Organization Owner or Admin. See Roles in Toggl.
  2. Plan for members. Imported members use licenses once they have access. See Understanding licenses.
  3. Import first, then review. Check projects, task assignments and rates after the import. Alerts and reminders are not imported and need to be recreated.
  4. Only one import runs at a time. The Toggl importer keeps a list of past runs under Data import, and the Universal CSV Importer allows one running import per workspace.

Common questions

Why can’t I see Data import in Admin Settings?

You need an admin role. For the Toggl importer your organization also needs a Toggl Track workspace you administer, or a Toggl Plan workspace you administer. If imports are paused for your organization, the section shows a notice asking you to contact support.

Does importing delete anything in Toggl Track?

No. The importer reads from Toggl Track and writes to Toggl. Your Track data stays where it is.

Can I import only some projects?

Not with the Toggl importer: it imports a whole workspace. With the Universal CSV Importer you choose what is in your file.

I imported, but my team can’t find their tasks.

Tasks without an assignee don’t appear in views built around your own work, such as My tasks. Assign them, or assign a team. See Admin guide: switching to Toggl from Toggl Track.

Will importing twice create duplicates?

The Universal CSV Importer matches existing records by name, and members by email, so re-importing the same file reuses them. Re-running the Toggl importer keeps what is already there and updates rate history.
