# Bulk actions on the Members page

## Select multiple members on the Members page and act on the whole group at once: send invites, set their Toggl role, set billable and cost rates, set a member custom field, or set working hours.

From the Members page, admins can select multiple members at once and act on the whole selection, instead of opening each row's menu one at a time. 

### Selecting members

- Tick the checkbox on each row you want, or use the checkbox in the header to select every member on the current page.
- Your selection is kept as you move between pages, so you can build up a group across several pages and then act on all of it at once.
- Use search and the filters (Role, Team, Status and any member custom fields) to narrow down the list before you select. Changing a filter or the search clears your current selection, because the people you’d selected may no longer be on screen.

### What you can do with a selection

#### Send invites

Sends an invitation email to every selected member who hasn't joined yet.

- Members who have already joined, and deactivated members, are never emailed.
- The number on the button is the number of emails that will actually be sent, not the size of your selection. The popover shows how many members are left out and why.
- Members with a pending invitation receive it again.

#### Set role

Sets the Toggl role for the selected members in this workspace.

- The organization owner, deactivated members, and people who aren't in this workspace keep their current role. The popover shows how many.
- If the change would remove administrator access from anyone, you'll see a warning with the number of people affected before you confirm.

#### Set billable rate and Set cost rate

Rates in Toggl are schedules with a start date, so setting them in bulk takes two steps:

1. Enter the amount and the date the rate starts.
2. Toggl checks each selected member against their existing rates. If any of them clash, you choose once for the whole group: leave those members' rates as they are, or replace them.

The popover stays open until all rates are saved. If a member's rates can't be checked, that member is left out of the update and named in the popover.

**Set custom field**

Sets one member custom field to the same value for every selected member, for example Department or Seniority for a whole team.

1. Select the members.
2. Click **Set custom field** and choose a field.
3. Enter or pick the value, then click **Update \[N\] members**.

- You can set one field at a time. To set another field, run the action again.
- The new value replaces each member’s current value. Leaving the value empty clears the field for every selected member.
- All field types are supported: text, number, date, select, multi-select, members and checkbox.
- If the selected members currently have different values, the field shows **Mixed**.
- Deactivated members are skipped, and the popover shows how many. Invited members who haven’t joined yet are included.
- While the update is running, the custom field cells on the Members list can’t be edited.
- If some members can’t be updated, a message shows how many were updated and how many weren’t. Members who weren’t updated keep their previous value. If none can be updated, your selection is kept so you can try again.

Member custom fields are available on the Premium and Enterprise plans.

### **Set working hours**

Sets the same working hours for every selected member.

1. Select the members.
2. Click **Set working hours** in the bulk action bar.
3. Enter a **weekly total**, or set **hours per day** from Monday to Sunday.
4. Click **Update \[N\] members**.

The new hours replace each selected member’s current working hours, including any per-day schedule they had.

You can update up to 100 members at a time. If you’ve selected more, select fewer and repeat.

If the update fails, no one’s working hours are changed. Your selection is kept so you can try again.

Setting hours per day is available on the Starter, Premium and Enterprise plans. On the Free plan, you can set only the weekly total.

#### Access

The bulk action bar is admin only, the same as the individual row actions. Each action appears only if you’re allowed to make that change. For example, **Set custom field** appears only for admins who can edit member custom fields. Managers, who can view member field values but not change them, don’t see it.

Set working hours appears only for admins with the **Manage working hours** permission. It doesn’t depend on your plan.
