Bulk Archive and Delete in Toggl
This guide explains how bulk archiving and deleting works for projects and tasks in Toggl. It covers what happens when a project is archived, how archived tasks behave on the timeline and in reports, and how to edit archived items by unarchiving them first. It also outlines which workspace access levels have permission to archive, delete, or edit projects and tasks.
Overview
The bulk archive and delete feature gives you a cleaner, more organized workspace — without losing access to your historical data. This article explains how archiving and deleting works for projects and tasks.
Archiving Projects & Tasks
You can bulk select and archive or delete:
- Projects
- Tasks — either from within a project view or from the task list
When you archive a project, all tasks under that project are automatically archived too.
When you archive a client, its active projects (and their tasks and child projects) are archived with it. The confirmation shows how many projects are affected. Unarchiving the client later brings back only the client, not its projects. See Clients in Toggl.
Archived Tasks on the Timeline
Archived tasks are retained on the timeline so you can still reference historical data. If you want to remove them from the timeline entirely, you’ll need to manually delete them.
Deleting Tasks: What Happens to Logged Time
Deleting a task doesn’t delete the time logged on it. Time logs on the task and its subtasks, for everyone who tracked time there, are kept and simply lose the task. They keep their project, tags, duration and billable status, so reports and totals don’t change. A running timer on the task keeps running.
Only planned time (calendar plans with nothing tracked) is deleted with the task.
When the task has logged time, the delete dialog shows how many time logs it has and lets you choose what happens to them:
- Keep without a task — the time logs stay on their project, with no task.
- Move to another task — choose a task in the same project (or another task without a project, if the deleted task has none). The logged time, your planned time and a running timer move onto it.
This works wherever you delete a task: the task editor, the task list, the board, the tasks table (one task or several at once), and the calendar. For a recurring task, choose This task, This and all future tasks or All tasks, and the time logged on every task you delete is kept.
Good to know
- Undo — click Undo on the Task deleted message to restore the task and put its time logs back on it.
- Bulk delete across projects — if the selected tasks belong to more than one project, the dialog shows the number of time logs but doesn’t offer Move to another task. The time is kept without a task.
- Submitted or approved timesheets — time logs in a submitted or approved timesheet are never moved. They stay without a task, and the dialog tells you how many.
- Teammates’ time — you can only move teammates’ time logs if your access level lets you manage their time. Otherwise only your own time moves, and your teammates’ time logs stay without a task.
- Timeline and mobile — deleting a task from the Timeline or in the mobile app keeps its logged time too, but doesn’t offer Move to another task yet. To move the time as you delete, use the Tasks page or the task editor in the web or desktop app.
