Capacity Management Add-on
This guide covers the Capacity Management Add-on. It explains what the add-on adds to the capacity planning in your plan, who can start a trial or subscribe, and how billing works.
Every paid Toggl plan shows each person's capacity for this week and this month, along with their time off, holidays and working hours. The Capacity Management Add-on adds a forward-looking layer for teams that make staffing decisions. You can see capacity further ahead, balance workloads within each team, forecast workload and utilization, and plan work you haven't committed to yet.
Overview
The Capacity Management Add-on adds:
- Capacity by team. Group the Timeline by team to see a capacity roll-up for each team, who has room and who's stretched, and balance workloads within it.
- Capacity beyond this month. See capacity indicators for any future period, not just this week and this month.
- Draft projects. Pencil in work you haven't committed to yet, and see how it would affect your team's capacity before you say yes.
- Forecasting in reports (Premium and Enterprise). See scheduled and draft work next to logged time in the Workload and Utilization reports, and draft work in Profitability. See Forecasting in reports.
The add-on uses the estimates, tasks and projects already in Toggl, so there's nothing new to set up.

Holidays, time off and working hours reduce capacity on every plan, with or without the add-on.
The add-on works with paid plans (Starter, Premium and Enterprise), and you can also try it while your organization is on a Toggl trial. Planning on the Free plan stays free: tasks, boards, estimates and personal planning.
Start a trial or subscribe
Every organization on a paid plan or a Toggl trial can try the Capacity Management Add-on free for 30 days. Only organization Owners and Admins can start the trial or subscribe.
- Open the Admin settings.
- Go to Billing (or Explore plans) and find Capacity Management under add-ons.
- Click Start 30-day free trial.
- To keep the add-on after the trial, click Subscribe and choose annual or monthly billing.
You'll also see prompts on add-on features, for example when you group the Timeline by team, turn on forecasting in a report, or create a draft project.
What happens to draft projects when a trial ends? If you don't subscribe, your draft projects are kept but hidden. Subscribe to the add-on again to bring them back.
Who can do what
Only organization Owners and Admins can start the trial, subscribe or cancel the add-on. Other members see the add-on features with a prompt to notify an admin.
The add-on covers everyone in your organization and doesn't have roles of its own. People see add-on features within their existing permissions: team-level data only if they can already view it, and draft values only if they can view draft projects.
Billing
- Price: $5 per person/month billed annually, or $6 per person/month billed monthly.
- The add-on covers every active member of your organization, and you pay for each of them. People who join later are added automatically. You can't choose individual seats.
- It shows as a separate line on your Toggl invoice. You need an active paid Toggl plan to subscribe.
- Volume discounts apply on Enterprise.
Frequently asked questions
What are add-ons?
Add-ons extend a paid plan with capabilities your team might not need on day one. You can add or remove them at any time, and each one comes with a 30-day free trial. Toggl has two add-ons: Capacity Management and Time Off Pro.
What's the difference between capacity included on Starter and Premium plans and the add-on?
Starter shows each person's capacity for this week and this month, along with time off, holidays and working hours. The add-on looks further ahead. You get capacity indicators beyond this month, capacity by team on the Timeline, draft projects that show how possible work would affect capacity, and, on Premium and Enterprise, forecasting in the Workload, Utilization and Profitability reports.
I'm on Premium. Isn't forecasting included?
Premium includes the Workload and Utilization reports with logged time. The Capacity Management Add-on adds the Scheduled and Draft forecast layers, along with draft projects, capacity beyond this month and grouping by team.
What can I do on Starter without the add-on?
You see capacity for every workspace member this week and this month, and you can manage team working hours, time off and holidays.
Can I use the add-on on the Free plan?
No. Add-ons work with Starter, Premium and Enterprise. If your organization is on a Toggl trial, you can start an add-on trial too.
Does the add-on include Time Off Pro?
No. Time Off Pro is a separate add-on for time off requests, approvals, balances and policies. Approved time off, holidays and working hours still reduce capacity with or without it.
Is the organization holiday calendar part of the add-on?
No. The Organizational Holiday Calendar depends on your plan: every plan sees public holidays, Starter and up can rename holidays, and Premium and up can customize the calendar.
I already used draft projects or forecasting before the add-on launched. What happens now?
If your organization used these features before the add-on launched, you keep free access to them. You'll see a notice in Toggl with the date your access ends.
