Clients in Toggl

Clients in Toggl group your projects together for reporting, but there's no dedicated Clients page — management happens through the Projects page and the project editor. This article covers who can manage clients, creating and renaming them, deleting or merging duplicates, and where clients show up across reports and other features.

Clients group projects together so you can report on all the work you do for one customer or stakeholder. A client can have many projects; each project can have only one client. Time logs are not assigned to a client directly — they pick up the client through the project they belong to.

Unlike Toggl Track, Toggl 2.0 does not have a dedicated Clients page in the sidebar. You create, rename, and delete clients from the Projects page and from the project editor.

Who can manage clients

Workspace admins can always create, rename, and delete clients. Whether Managers, Members, Time Trackers, and other roles can do the same is set in Admin Settings:

  1. Open Admin Settings.
  2. Under Workspace Setup, open Access.
  3. Find Allow members to manage clients.

Four access levels:

  • Full access — all roles can create, rename, archive, and delete
  • Edit access — all roles can create and rename
  • Restricted access — only admins and managers can manage clients
  • Custom access — set create, rename, archive, and delete per role

Guests cannot manage clients. They only see a client name where it already appears on a project they've been invited to.

Until an admin changes this setting, only workspace admins can create, rename, or delete clients.

Creating a client

Client names must be unique in a workspace.

From the Projects page:

  1. Open Projects in the sidebar.
  2. Click the Client cell on a project (it says Add client if none is set).
  3. Search for an existing client, or type a new name and create it.

When creating or editing a project:

  1. Click Add Project, or open an existing project.
  2. In the Client field, search for an existing client or type a new name to create one.

You can also assign a client to several projects at once from the Projects page: select the projects, then bulk-edit the Client field.

Workspace admins can bulk-import clients with the Universal CSV Importer under Settings → Data import. Clients also come across when you import from Toggl Track or turn on live sync.

Renaming a client

  1. Open the Client picker on a project (Projects page or project editor).
  2. Hover the client and click the pencil.
  3. Type the new name and press Enter.

The new name updates everywhere that client is used — on every project, in search, and in reports.

Removing a client from a project

Open the Client picker on that project and click Clear. The project stays; it's just no longer grouped under that client.

Deleting a client

  1. Open the Client picker on a project.
  2. Hover the client and click the trash icon.

The client is removed from the projects it was assigned to. The projects themselves, and their time logs, stay.

A toast appears so you can undo the delete immediately. After that, the client is gone from pickers and reports.

Toggl 2.0 does not have a separate Archive action on clients the way Toggl Track does. Delete (with undo) is how you retire a client. If you imported from Toggl Track, archived Track clients stay archived.

The Access setting still lists an Archive permission because it's used when restoring a deleted client — there is no Archive button in the picker.

Combining two clients

There is no merge button. To fold Client A into Client B:

  1. On the Projects page, group or filter by Client A.
  2. Select those projects and bulk-edit the Client field to Client B.
  3. Delete Client A.

Using clients in reports and elsewhere

Once a client is on a project, you can:

  • Filter the Summary report (and other reports) by client
  • Group the Projects list by client
  • Search for projects and time logs by client name
  • Scope a Goal to one or more clients
  • Break down profitability by client

New clients, projects, and rates use the workspace's default currency, set in Admin Settings.
