# Exporting reports from Toggl
## Report exports let you move data into a presentation, spreadsheet or another system without rebuilding the report by hand. This guide is for report viewers who need to choose the right format and understand why some export options may be unavailable.
In Toggl, open a report, set its period, filters, grouping and columns, then select **Export**. The downloaded file reflects the current report configuration.
### Where exports are available
Report exports are available in the web and desktop apps under **Reports**. You need permission to view the report and permission for the selected export format.
Built-in roles that can view a report receive its export permissions by default. Custom roles may differ.
### Which plans include each format?
| Format | Included plans |
| --- | --- |
| PDF | Free, Starter, Premium and Enterprise |
| CSV | Starter, Premium and Enterprise |
| XLSX | Starter, Premium and Enterprise |
The report itself must also be included in your plan. For example, having PDF export does not unlock a report type that your plan cannot access.
### Export a report
1. Open **Reports**.
2. Select the report view you need.
3. Choose the workspace, date range, filters, grouping and visible columns.
4. Select **Export**.
5. Choose **PDF**, **CSV** or **XLSX** from the menu.
Reports that support only one format show a direct button such as **Export CSV** instead of a format menu.
### Which formats does each report support?

| Profitability | ZIP containing separate CSV files for the profitability breakdown and projects needing attention |

### Choose the right format
#### PDF
Use PDF when the report needs to be read or presented without further calculation. Free-plan PDFs include Toggl branding. Paid organizations can configure a custom logo and footer for PDF exports.
#### CSV
Use CSV for raw data, large reports or imports into another tool. CSV is also the recommended fallback when a report is too large to render as PDF or XLSX.
Profitability uses the **Export CSV** control but downloads a ZIP containing multiple CSV files.
#### XLSX
Use XLSX when the report will be opened and edited in spreadsheet software. It keeps the export in a workbook format without requiring CSV import settings.
### Why is an export option locked or missing?
An option may be unavailable because:
- The workspace plan does not include that format.
- Your role does not have the corresponding export permission.
- The selected report does not support that format.
- A Beta export has not been enabled for the workspace.
- You are viewing someone else’s shared report.
When viewing a shared report, the export controls are hidden because an export would otherwise use your own report access rather than reproduce the shared view. If **Save as my view** is available, save a copy and export that view instead.
### What happens when a report is too large?
PDF and XLSX exports have rendering limits. If Toggl reports that the file is too large, reduce the date range or filters, or export the report as CSV.
### Does the export include my current filters and columns?
Yes. The export request uses the report’s current period, filters, grouping and applicable column settings. Save the report as a view first if you want to reuse the same setup later.
