Importing data from Toggl Plan and Toggl Track to Toggl 2.0

You can easily transfer your data from Toggl Plan or Toggl Track into Toggl 2.0. This article explains how the importer works and walks you through the available import methods.

How to import data

You can kick off the import from any of these three entry points:

1. Top banner.
2. Import data button in the side navigation.
3. Settings → Data Import.

Select the product you would like to import from, your desired workspace(s), and click Import data.

Importing from Toggl Plan

• Import all time data from Toggl Plan to Toggl 2.0.
• Team admins can import all data for their team, including team members. Users who have not yet used Toggl 2.0 will receive an invite email.
• Import projects, tasks, status, teams and team members.
• Task notes become the description in Toggl 2.0 tasks
• Task comments become comments in Toggl 2.0 tasks
• Task checklist items becomes subtasks in Toggl 2.0 

Importing from Toggl Track

• Import all time data from Toggl Track to Toggl 2.0.
• Choose whether to import data for your entire workspace or just for your user account.
• Choose whether to add Toggl Track workspace members during the import. If skipped, their data still comes over — they just won't get Toggl 2.0 access until an admin grants it later.

What's currently supported:

Billable rates & labor cost

The importer brings over billable rates and labor cost at all four levels Toggl 2.0 supports: workspace, workspace member, project, and project member. Full rate history is preserved, not just the current rate — including rates on recurring projects.

Dates. Toggl Track stores rate periods as calendar dates in the rate creator's timezone, with an exclusive end date. Toggl 2.0 end dates are inclusive, so the importer subtracts one day to keep the same coverage.

• For example, a Toggl Track rate running [2024-01-02, 2024-04-02) becomes 2024-01-02–2024-04-01 in Toggl 2.0, without losing or gaining a day.

• A Toggl Track rate with no start date (open from the beginning) is imported with a start date of 2006-01-01 — the earliest date the importer supports.

• A missing end date stays open-ended.

• Time-of-day is not retained, since Toggl 2.0 rates are date-only.

Currency. Amounts are converted using the resolved currency's smallest unit (e.g., USD/EUR to cents, JPY with no decimal places, BHD/KWD to three decimal places, CLF to four). Amounts more precise than the currency allows are rounded, and this is noted in the import warnings. Currency is resolved project → workspace → USD for project-level rates, and workspace → USD for workspace-level rates; falling back to USD is flagged as a warning.

Re-imports. Running the import again keeps rate history in sync — changed, added, deleted, or restored rates in Toggl Track are reflected in Toggl 2.0. Re-importing unchanged data makes no changes. If any part of a rate timeline can't be converted, the importer leaves your existing Toggl 2.0 timeline as-is rather than replacing it with incomplete data.

Permissions. The Toggl Track user running the import needs permission to view both workspace rates and member labor costs. Without it, the import fails rather than importing partial financial data.

Limitations:

• Task-level rates aren't imported — Toggl 2.0 has no task-level rate concept, so these are skipped with a warning.
• Rates tied to a member or project that couldn't be matched are skipped with a warning.
• Invalid, negative, or unrepresentable amounts, and invalid date intervals, are flagged with a warning and that rate's full timeline is left out.
• Overlapping rate periods in Track are normalized, since Toggl 2.0 doesn't allow overlapping intervals — the newer Track rate wins, and this is reported as a warning.
• Deleted rates, projects, or membership relationships in Track aren't imported (archived projects are still eligible).
• Historical fixed fees aren't imported — only a project's current fixed fee comes across, since that's all Toggl 2.0 stores.

Things to keep in mind

• This is not a live sync. Changes made later in Toggl Plan or Toggl Track (e.g. edits, deletes, re-assignments) will not reflect in Toggl 2.0. You can enable a live sync with Toggl Track after completing an import — learn more here.
• Import is available at Workspace level only. You cannot choose specific projects. Everything in the selected workspace is imported.
• All time data is imported to Toggl 2.0 up to the first 30-month gap. For example, if your workspace has three years of data, a two-year gap with no data prior, and another year of data before that, only the first three years would be imported in this scenario.
• Recurring projects: the current period starts on the project's actual start date in Toggl Track, so backdated contracts (for example, an annual contract that began last October) keep their true period boundary and run forward from there. Projects with custom or irregular recurrence aren't supported yet — these import as normal, non-recurring projects.
• Fixed fees: Only the project's current fixed fee is imported — historical fixed-fee changes are not brought over.
• If you cancel during import or start over, previous imports remain in Toggl 2.0.

What's not imported yet

A few areas of Toggl Track data aren't covered by the importer yet, though support for these is in progress:

• Project estimates, start/end dates, and template flag
• Budget/threshold alerts and tracking reminders
• Goals

If your workspace relies on these, plan to re-create them manually in Toggl 2.0 after import until support is added.
