# Importing tasks
## Task import creates several tasks in one go from a photo of a to-do list, a short description of the work, or notes you paste in. This guide is for anyone who has a list on paper or in a document and does not want to type each task again. You will be able to review the suggested tasks, fix them and add them to a project.
Use **Import tasks** to create many tasks at once. Choose a photo, a prompt or pasted text, check the list Toggl suggests, and select **Add N tasks**. The tasks you add are assigned to you and have the status **To do**. This is not the CSV importer or the Toggl Track importer. ### Where to find it
**Import tasks** is an AI icon in the toolbar. Hover over it to see the tooltip. You can also press **I** when keyboard shortcuts are on. It is on:
- the **Tasks** page, in List and Board view (not in the archived view)
- the **Tasks** and **Board** tabs of a project
- an empty Tasks page, as an **Import tasks** button
You need a role that can create tasks. Guests do not see the Tasks page, and the Time tracker role cannot create tasks. See [Overview of the Tasks page](https://docs.toggl.com/overview-of-the-tasks-page?hsLang=en).
### Pick how to import
Select **Import tasks**. Three cards open:
| Card | Use it when | What Toggl does |
| --- | --- | --- |
| **Photo** | You have a to-do list on paper, a sticker, a whiteboard or a screenshot. | Reads the tasks from the image. |
| **Prompt** | You know the goal but not the steps. For example, “Launch a Marketing Campaign”. | Writes a list of tasks for that goal. |
| **Text** | You have notes or a list in another app. | Turns each item in the text into a task. |
### Import from a photo
1. Select **Photo**.
2. Drop an image on the page, or select **Select a file**. Use a png, jpg or jpeg. You can add one image at a time. HEIC and HEIF photos are not supported yet, so use a screenshot or convert the picture first.
3. Select **Review Tasks**, or press **Ctrl+Enter** (**Cmd+Enter** on Mac). To pick another image, select **Clear**.
### Import from a prompt
1. Select **Prompt**.
2. Under **Describe what do you plan to work on**, type the goal or job.
3. Select **Review Tasks**.
Change the wording and select **Generate task list** on the review page to get a new list.
### Import from text
1. Select **Text**.
2. Under **Add your notes of what you plan to work on**, paste your notes. A list with one task per line works best.
3. Select **Review Tasks**.
After you edit the notes on the review page, select **Update tasks** to read them again.
### Review the tasks before adding them
The review page shows how many tasks Toggl found. Nothing is created until you select **Add N tasks**.
- **Edit a name:** click the name and type.
- **Set a priority, project or tag:** use the buttons on each row.
- **Set the same value on every task:** use **Apply to all tasks** at the top and choose **Priority**, **Project** or **Tag**.
- **Remove a task:** use the × on its row.
- **Add one that is missing:** select **Add another**.
- **Start over:** select **Cancel** to go back to the Tasks page.
If you started from a project’s **Tasks** or **Board** tab, every task goes into that project and the **Project** column is hidden.
Premium workspaces can require a project or tags on tasks. A required field is marked with a star, and **Add N tasks** will not create tasks until you fill it in. See [Required fields for tasks and time logs](https://docs.toggl.com/required-fields-for-tasks-in-toggl?hsLang=en).
### What the new tasks look like
- They are assigned to you and have the status **To do**.
- They have no dates and no estimate, so they appear in the **Unplanned** view and in the Timeline’s **Unplanned tasks** panel until you schedule them.
- If your workspace has private projects and tasks, a task with no project is private, and a task in a project follows that project’s privacy. See [Private projects and tasks](https://docs.toggl.com/private-projects-and-tasks-in-toggl-2-0?hsLang=en).
After you select **Add N tasks**, Toggl returns you to the page you started from.
### If Toggl cannot read the input
You may see **Couldn’t recognize tasks**. With a photo, this can be caused by lighting or image quality. Select **upload another image**, or type the tasks into the box and select **Convert to tasks**. With a prompt or text, make the input more descriptive and try again.
### Common questions
#### Why does the import page show no tasks?
The input was probably too short or unclear to read as tasks. Add more detail to the prompt, put one task on each line of the text, or use a sharper photo.
#### Can I import a spreadsheet or CSV with this?
No. Task import takes a photo, a prompt or pasted text only. To bring in a spreadsheet of projects, tasks and time entries, use the [Universal Importer](https://docs.toggl.com/universal-csv-importer?hsLang=en).
#### Does the import set dates, estimates or assignees?
It does not set dates or estimates. Every task is assigned to you. Use [bulk editing](https://docs.toggl.com/bulk-editing-projects-and-tasks-in-toggl?hsLang=en) to set assignees, estimates or dates on many tasks afterwards.
#### Why can’t I see Import tasks?
It is hidden in the archived view and for roles that cannot create tasks. Open the **Tasks** page, or a project’s **Tasks** or **Board** tab, and check your role.
