Using the calendar integration in Toggl 2.0

Connecting a Google or Outlook calendar shows scheduled events as planned time entries on the timeline, which can be logged as time manually or auto-tracked per calendar. Suggestion rules can automatically classify matching events by project or task across all connected calendars, with per-event project/task assignment on unlogged entries planned for a later update.

Connect your Google or Outlook calendar to see your scheduled events alongside your tracked time, and turn those events into time entries automatically.

This article covers how the calendar works in the current version of Toggl 2.0, how to log time from calendar events, and how to set up rules that classify events for you.

What's changed: Calendar events are now shown as planned time entries on your timeline rather than as a separate calendar layer. This keeps your planned and tracked time in one clean, unified view. Assigning projects and tasks directly to unlogged calendar events is coming in a later update.


Connect your calendar

  1. Open Settings & Preferences → External calendar integrations.
  2. Select Add Google Calendar or Add Outlook Calendar.
  3. Authorise the connection when prompted.

After a few seconds, your calendar events appear on your timeline. Connecting works exactly as it did before — nothing about this step has changed.

Your events display as planned entries. These show your scheduled events but don't yet have a project or task attached to them.


Log time from a calendar event

You have two ways to turn calendar events into tracked time.

Log an event manually

  1. Find the planned event on your timeline.
  2. Log your time against it as you normally would.
  3. Optionally, assign a project or a task to the Time log.
    1. The ability to assign a task / project to the planned entry will come in Phase 2.

When you assign a project, the entry updates to that project's colour so you can see your classified time at a glance. The event's title is carried into the time log's description, and the event and its log appear as a single combined block rather than two stacked entries.

Auto-track a whole calendar

  1. Go to Settings & Preferences → External calendar integrations.
  2. Find the connected calendar you want to auto-track.
  3. Enable auto-track.

All past, synced events on that calendar are logged automatically. This matches the auto-log behaviour from previous versions.


Classify events automatically with suggestion rules

Suggestion rules match calendar events by keyword and assign them to a project or task for you. A rule applies to every connected calendar, and to both existing and future events that match.

Create a rule

  1. Go to Settings & Preferences → Suggestion rules.
  2. Select Add rule.
  3. Enter the keyword or phrase to match (for example, a recurring meeting name). You can edit the phrase however you like.
  4. Choose the project or task to assign matching events to.
  5. Save the rule.

From then on, any event whose name contains that phrase is logged with the chosen project or task attached automatically — including future events.

Tip: Rules are ideal for recurring events. For example, a rule matching "Prep & review" can send every daily prep event to a specific project, while a rule matching a teammate's 1:1 can classify it as a meeting.

Updating existing logged events

If you turn a calendar's auto-log off and then re-enable it, previously auto-logged events are updated to reflect your current rules. This is a quick way to re-apply new or changed rules across events you've already logged.


Deleting a calendar

When you remove a connected calendar, Toggl asks what you'd like to do with your upcoming planned entries (your calendar events):

  • Remove all upcoming entries — clears planned entries from now onward for the rest of the affected period.
  • Keep everything — retains all planned items, with nothing deleted.

Your past, already-logged time entries are not affected by removing a calendar.

If you later reconnect the same calendar, your events sync back in. Because planned entries and logged time are now handled together, disconnecting and reconnecting no longer creates duplicate entries or loses your historical time logs — a problem some users hit in the earlier version.


Multiple calendars

You can connect more than one calendar. Auto-track is set per calendar, so different calendars can behave differently, while suggestion rules apply across all of them. Everything above works the same way regardless of which calendar an event came from.
