Organizational Holiday Calendar
Every organization has a single holiday calendar that admins control. National holidays come in automatically for 250 countries, and admins can add their own company closures on top — every holiday on the calendar is factored into available capacity.
Where to see holidays
Admins manage it from the Holiday calendar settings page (alongside Billing, Explore plans, and Single Sign-on) — this is where you pick the source mode, add or remove dates, import a CSV, and set up exceptions.
Members see a read-only version under Profile settings > Availability: which dates they observe, which they don't, and where their holidays come from.
Access
Every member can see the read-only version, no permission required. The admin side is limited to organization admins, and what they can do depends on the subscription plan: viewing the calendar is available on Free, renaming a holiday needs Starter and up, and managing exceptions, customizing at the org level, and CSV import all need Premium and up.
Source mode
There are two modes to choose from:
- Each member's own country (the default) — everyone gets holidays based on where they're based, so members in different countries see different calendars.
- One country for everyone — a single country's holidays apply across the organization. The country picker only shows countries your organization actually has members in.
One thing that stays the same either way: each member sees holiday names in their own language. The mode only decides which holidays apply, never what language they're written in.
Previewing and editing one country
While in "each member's own country" mode, every country your organization has members in shows up. Click one to preview that country's holidays in the list below.
With edit access, you can add, remove, or rename dates while previewing — but those changes only apply to that one country (a note reminds you: "Changes you make here apply only to Canada's calendar"). CSV import is turned off while previewing.
Without edit access, this is a read-only preview, and points to exceptions instead if you want to change what one person observes.
If a date belongs to the whole org rather than the country you're previewing, it's flagged as such — you'll need to switch back to the main org view to edit it. Click the chip again to leave the preview.
The dates list
Dates are grouped by year (for example, "Dates in 2027 — 9 observed"), with Import CSV and Add date buttons up top and a menu on each row. Each date shows where it came from:
- No badge — sourced straight from the country list.
- Added — an admin added it, either a company closure or a correction.
- Removed, struck through — an admin removed a sourced holiday. It's hidden by default, and stays removed even through the weekly refresh.
There's also a Show removed holidays toggle, off by default — turn it on to see removed dates struck through instead of just the active ones. As the page puts it: "Unbadged dates come from the country list. Your changes are kept when it refreshes."
Exceptions
Teams and members show up together in one list, written in plain language:
- "Engineering does not observe Jul 5, Nov 25, Nov 26" (a team exemption).
- "Does not observe any date on this calendar" (a whole-calendar exemption).
- "Ana observes Jul 5, overrides their team" (a member restored to a date their team is exempt from).
If a member has their own exception, it always wins over their team's — that's how you can exempt a whole team from a date, then restore just one person to it. There's no way to give one person a totally unique date nobody else has, though.
The member view
Every member can find this under Profile settings > Availability, no permissions needed. It shows:
- This year's dates, and how many the member observes (for example, "6 you observe").
- A badge per date: National holiday or Company closure.
- A strike-through on any date the member doesn't observe, with the reason spelled out.
- A note on where their national holidays come from — for example, "Your national holidays come from your country, Canada. Change it in Country and language." In uniform mode, it just names the chosen country instead.
- A heads-up if their team is exempt from some dates — for example, "Engineering does not observe 3 of these days. They are struck through below."
- A reminder at the bottom: "These reduce your available capacity. You do not need to request them."
Where holidays come from, and how they stay current
Holidays come from an offline library covering 250 countries. The first time an org needs a given country, language, and year, Toggl fetches it and caches it — then keeps it current with a weekly refresh, and pulls in next year's dates ahead of January 1st so nobody starts the year with an empty calendar. Admin edits always survive the refresh: anything you've added, renamed, or removed stays that way.
Importing dates by CSV
Importing is a two-step process, so nothing gets written by accident:
- Validate — Toggl checks the file and tells you what it found, without changing anything. All you need is a date column and a name column.
- Import — only happens once you confirm.
Afterward, you'll see which rows were written, skipped, or failed, and why. If a row conflicts with a date already on the calendar, you resolve it one by one (or use the resolve-all shortcut) — unresolved conflicts block the whole import. You also tell Toggl upfront whether the file should add to or replace what's already there; it never guesses.
Turning holidays off
There's an org-wide switch that turns off sourced national holidays specifically — company closures an admin added still apply. It's set at the organization level.
Recurrence
A date an admin adds can repeat automatically every year if it falls on the same month and day. A date that shifts from year to year — like the Friday after Thanksgiving — can't repeat, so it has to be added manually each time.
How it connects to the rest of Toggl
Because holidays plug into the existing capacity pipeline, closed days automatically show up in the timeline, calendar, board, and the Workload and Utilization reports — nothing needs to be set up separatelys.
Troubleshooting
A holiday for my country is missing or wrong. National holidays come in automatically and refresh weekly. If one's missing or wrong, an org admin can add or rename it on the Holiday calendar page. State and province-level holidays aren't covered — see below.
I see a holiday struck through on my calendar. That means the member doesn't observe that date — the member view explains why. A member's own exception always overrides their team's.
Capacity didn't drop for a holiday. Check whether sourced holidays are turned off for the org (company closures still count either way). Also, in per-member mode a holiday only applies to members based in that country.
An admin removed a national holiday, but it came back. It shouldn't have — removed dates stay removed. They're just hidden by default; turn on Show removed holidays to see it struck through. If it genuinely reappeared, escalate it.
State or province holidays aren't showing. Holidays are only sourced at the country level for now. Admins can add specific dates manually.
"Turning on 'one country for everyone' changed my members' holidays." That's expected — uniform mode replaces everyone's national holidays with the one chosen country. Switching back to per-member mode restores each person's own.
