# Overview of the Projects page

## This guide is for anyone who organises work in Toggl — members tracking time against projects, project managers setting them up, and admins managing the whole workspace. It covers the Projects list (columns, filters and bulk actions) and the tabs on a project page (Overview, Tasks, Board, Timeline, Dashboard and Members). By the end you will know how to find, create and manage projects, what each tab is for, and where to go for the step-by-step on each action.

The Projects page is where you organise work into projects. Open **Projects** in the sidebar, under **Plan**. It is available on every plan, on the web, desktop and mobile apps. Who can see it depends on role: anyone with permission to manage projects or view assigned projects sees the sidebar item.

The page has two levels: the **project list**, which shows every project in the workspace, and a **project page**, which opens when you click a project and holds the tabs — Overview, Tasks, Board, Timeline, Dashboard and Members.

### The project list

| Column | What it shows | Learn more |
| --- | --- | --- |
| **Project** | The project name, with a draft or template badge where relevant. Hover a private project to see its members. | [Private projects and tasks](https://docs.toggl.com/private-projects-and-tasks-in-toggl-2-0?hsLang=en) |
| **Client** | The client the project belongs to, if any. A project has at most one client. | [Clients in Toggl](https://docs.toggl.com/clients-in-toggl?hsLang=en) |
| **Billable** | Whether the project is billable. | [Billable rates](https://docs.toggl.com/billable-rates-in-toggl-2-0?hsLang=en) |
| **Rate** | The project’s current billable rate, or the workspace rate if the project has none of its own. | [Billable rates](https://docs.toggl.com/billable-rates-in-toggl-2-0?hsLang=en) |
| **Dates** | The project’s start and end dates, if set. | — |
| **Time status** | A bar showing tracked time against the project’s estimate. Green is on track; red is over estimate. Without an estimate, shows total tracked time. | [Setting up and monitoring a project](https://docs.toggl.com/setting-up-and-monitoring-a-project?hsLang=en) |
| **Fixed fee** | The project’s fixed fee, if set. | [Project fixed fees](https://docs.toggl.com/project-fixed-fees-in-toggl-focus?hsLang=en) |
| **Variance** | The difference between the project’s time estimate and total tracked time. | [Setting up and monitoring a project](https://docs.toggl.com/setting-up-and-monitoring-a-project?hsLang=en) |
| **Tags** | The tags on the project. | [Tags in Toggl](https://docs.toggl.com/tags-in-toggl-2.0?hsLang=en) |
| **Custom fields** | One column for each project custom field on the workspace. Premium and Enterprise. | [Project-level custom fields](https://docs.toggl.com/project-level-custom-fields?hsLang=en) |

Choose your columns with the column picker in the toolbar. Hide or show columns, and reset to the default layout. Your choice is saved in your browser.

### Filters and grouping

Use the filter chips in the toolbar to narrow the list:

- **Client** — show only projects for a client.
- **Member** — show only projects a person is on.
- **Privacy** — show public, private, or both.
- **Tag** — show projects with a tag.
- **Custom fields** — filter by project custom field values. Premium and Enterprise.

Group the list by client to see each client’s projects under a header. Save a filter and grouping setup as a saved view, and pin it to **Favorites**. See [Saved views in Toggl](https://docs.toggl.com/saved-views-in-toggl?hsLang=en).

### What you can do from the list

- **Create a project** — click **New project** in the toolbar. Enter a name, client, dates, billable status and more. See [Setting up and monitoring a project](https://docs.toggl.com/setting-up-and-monitoring-a-project?hsLang=en).
- **Open a project** — click a row to open the project page and its tabs.
- **Bulk edit** — select projects with the checkboxes, then use the bulk toolbar to archive, delete, change billable status or edit tags. See [Bulk editing projects and tasks](https://docs.toggl.com/bulk-editing-projects-and-tasks-in-toggl?hsLang=en).
- **Pin a project** — open a project’s **⋯** menu and choose **Pin to sidebar**. Pinned projects appear under **Favorites**. See [Pinning projects to the sidebar](https://app.slack.com/client/T029WRP5G/later#).
- **Edit, duplicate, archive or delete** — open a project’s **⋯** menu for the full list: **Edit project**, **Rename project**, **Duplicate project**, **Save as template**, **Convert to draft**, **Archive project**, **Make public**, **Delete project**.

### The project page

Click a project to open its page. The tabs along the top are:

| Tab | What it shows | Plans | Learn more |

| **Overview** | The project’s name, description, client, dates, estimate, fixed fee, members, tags, custom fields, milestones and tasks in one view. Edit details inline. | All plans | [Setting up and monitoring a project](https://docs.toggl.com/setting-up-and-monitoring-a-project?hsLang=en) |
| **Period** | For recurring projects only: the current period’s metrics and a period picker. | All plans | [Recurring projects](https://docs.toggl.com/set-up-a-recurring-project-in-toggl-2-0?hsLang=en) |
| **Tasks** | All tasks in the project, in list view. Create, assign, estimate and set status and priority. | All plans | Overview of the Tasks page |

| **Dashboard** | A real-time view of project progress: time budget, forecasting, and breakdowns by task, member and status. | Premium and Enterprise | [Project dashboards](https://docs.toggl.com/project-dashboards-in-toggl-2-0?hsLang=en) |
| **Members** | The project’s members and their project roles. Add or remove members, and change who can see a private project. | All plans, on workspaces with private projects enabled | [Private projects and tasks](https://docs.toggl.com/private-projects-and-tasks-in-toggl-2-0?hsLang=en) |

### Who can do what

| Action | Who can do it |
| --- | --- |
| See the Projects list | Anyone with permission to manage projects or view assigned projects |
| Create a project | Members and above who can create projects. |
| Open and edit a project | Project managers for their projects; admins for any project |
| Archive or delete a project | Project managers for their projects; admins for any project |
| See a private project | The project’s members and workspace admins |
| See the Dashboard tab | Shown to everyone with project access except Guests |
| See the Timeline tab | Shown to everyone with project access, including Guests |

New projects and standalone tasks are private by default. Only their members and workspace admins can see them. See [Private projects and tasks](https://docs.toggl.com/private-projects-and-tasks-in-toggl-2-0?hsLang=en).

### Common questions

#### Why can’t I see a project I know exists?

It may be private, and you are not a member. Ask the project’s manager to add you. Private projects are visible only to their members and workspace admins. See [Private projects and tasks](https://docs.toggl.com/private-projects-and-tasks-in-toggl-2-0?hsLang=en).

#### What’s the difference between archiving and completing a project?

Archiving removes a project from the active list but keeps its data, so it stops appearing in the timer’s project picker and on the Timeline. Completing a project marks it as finished.

#### How do I repeat a project on a schedule?

Turn on **Recurring** on an existing project, or create a new series from a template. You define how often it repeats, how budgets roll over, and how each new period starts. See [Recurring projects](https://docs.toggl.com/set-up-a-recurring-project-in-toggl-2-0?hsLang=en).

#### Can I plan work before committing to it?

Yes. Mark a project as a **Draft** to model possible work before publishing it. Draft projects are visible only to the project manager and admins, and can be included in capacity planning. See [Draft projects](https://docs.toggl.com/draft-projects?hsLang=en).

#### How do I reuse the same project setup?

Save a project as a template, then create new projects from it. Templates carry tasks, estimates, priorities and billable flags. See [Project templates](https://docs.toggl.com/project-templates-in-toggl-2-0?hsLang=en).
