Overview of the Teams page

The Teams tab on the Members page is where you create teams, choose who is in them, and decide who leads them.

The Teams tab on the Members page is where you create teams, choose who is in them, and decide who leads them. Teams then show up across Toggl: you can assign a whole team to a task, filter and group the Timeline by team, share reports with a team, and let team leads see their team's time and approve its time off.

Who can use the Teams page

  • Admins and Managers see the Teams tab and can create, edit and delete teams.
  • Other roles don't see the tab.
  • Admins see the People tab next to Teams. Managers see only the Teams tab.
  • Only Organization Admins can invite someone new to Toggl while picking team members.
For more on what each role can do, see User Roles in Toggl.

Open the Teams page

Go to Members and select the Teams tab at the top of the page.

What the page shows

Each row is one team in the current workspace.
Column What it shows
Team The team's emoji and name. Click the column header to sort A–Z, then Z–A, then back to the default order.
Members How many people are in the team.
Role How many people hold each team role, for example "Team lead (1), Team member (4)". People with No role aren't counted. A dash (—) means nobody in the team has a team role.
⋯ The team's menu, with Edit and Delete.
  • Click the arrow next to a team's name to expand it. You'll see each member with their team role, and you can change roles from there (see Set team roles below).
  • The page shows 15 teams at a time. Use the page numbers at the bottom to see more.
  • If the workspace has no teams yet, you'll see Build your first team. Admins also see a Create a team button.

Create a team

1. Click New Team in the top-right corner.

2. Pick an emoji for the team. One is picked for you, and you can click it to change it.

3. Enter a Team name (up to 140 characters).

4. Open Team Members and select the people to add. Guests can't be added to teams. Organization Admins can also invite someone who isn't in Toggl yet from this list.

5. Click Add team.

Add team stays disabled until the team has a name and at least one member. The team is created in the workspace you're in.

New members join a team with No role. To make someone a team lead, set their role after you create the team.

Edit a team

1. Click the team's row, or open ⋯ and choose Edit.

2. In Team settings, change the emoji, the name, or who is in the team.

3. Click Save.

A team must keep at least one member, so Save is disabled if you remove everyone. To get rid of a team, delete it instead.

You can also add a person to teams or remove them from teams on the People tab, using the Teams column. See Filtering members and managing teams on the Members page.

Set team roles

1. Click the arrow next to the team's name to expand it.

2. Click a member's role and choose Team lead, Team member or No role.

The change saves straight away.
Team role What it adds
Team lead Sees team members' tracked time in reports, sees the team's capacity and Timeline, and can approve or reject time-off requests from the team and log time off for its members. It doesn't add access to costs, rates or profitability.
Team member Nothing beyond the person's workspace role.
No role Nothing beyond the person's workspace role.
A team role is added on top of the person's workspace role. It doesn't replace it. A team can have more than one team lead, and a person can be in several teams with a different role in each.

For the full picture, see User Roles in Toggl. For time-off approvals, see Time Off Pro.

Delete a team

1. Open the team's ⋯ menu and choose Delete.

2. Confirm in the Delete team? dialog.

Deleting a team removes the team only. Its members stay in the workspace.

FAQs

I can't see the Teams tab.

You need to be an Admin or a Manager in the workspace. Ask an Admin to create or change the team for you.

Can one person be in more than one team?

Yes. On the People tab, the Teams column shows "[N] teams" for anyone in more than one team.

Can I add a Guest to a team?

No. Guests aren't listed when you pick team members.

Does a team lead approve timesheets?

Not because of their team role. Timesheet approvers are chosen separately in each timesheet setup. See Timesheet Approvals in Toggl 2.0.

Are teams shared between workspaces?

No. The Teams page lists the teams in the workspace you're in, and new teams are created in that workspace.
