# Overview of the Timeline page

## This guide is for managers, admins and team members who plan work in Toggl. It explains each part of the Timeline page: the grouping options, filters, zoom levels, the capacity control, the Unplanned tasks panel, and how tasks, time off and calendar events appear in each lane. By the end you will know how to read the Timeline, how to schedule and move work on it, and what your role and plan let you do.

The Timeline page shows dated tasks on a calendar so you can see who is working on what, and when, and whether they have time for more. Open **Timeline** in the sidebar, under **Plan**. It is on the web and desktop apps. The mobile app doesn’t have a Timeline page. Guests don’t see the Timeline page, but they can open the **Timeline** tab inside projects they’re invited to, in read-only mode. Older Toggl 2.0 guides call this page the “Timeline view”.

Every paid plan includes the Timeline with unlimited views. 

Only tasks with a start and end date appear on the Timeline. Tasks without dates wait in the **Unplanned tasks** panel until you drag them onto a lane.

### What’s on the page

| **Grouping picker** | The dropdown at the top left shows the current grouping. Open it to switch between **People**, **Projects**, **Tags** and **Teams** (listed under **Defaults**), or to open one of your **Saved views**. **Groupings at a glance**

| Grouping | What each lane is | Plans |
| --- | --- | --- |
| **People** | One lane per person, with their tasks and capacity. The default. | All plans |
| **Projects** | One collapsible group per project. Expand it to see a row for each person with scheduled work on it, plus a **No assignee** row. Up to 25 project groups can be expanded at once. | Starter and above |
| **Tags** | One lane per tag. Tasks without a tag don’t appear in this grouping. | Starter and above |
| **Teams** | One group per team with a combined capacity figure, and a **No team** group for people outside any team. | Capacity Management add-on |

Inside a project, the **Timeline** tab offers People and Tags (and Teams with the add-on), but not Projects, because the view is already limited to that project.

### What you can do here

- **Schedule unplanned work.** Open the side panel and drag a task from **Unplanned tasks** onto a lane and date.
- **Create a task on the Timeline.** Click an empty spot in a lane, or drag across the dates you want, then type a task name.
- **Move, stretch or shorten a task.** Drag a task bar to new dates, or drag its edges to change the start or end date. Hold **Alt** while dragging to duplicate it.
- **Reassign work.** Drag a task from one person’s row to another. In the Projects grouping, you can only drop it on another row in the same project group.
- **Change project dates.** In the Projects grouping, drag either edge of a project’s duration bar to change its start or end date. This doesn’t move its tasks.
- **Edit several tasks at once.** Hold **Shift** and drag across tasks to select them, then move them together.
- **Use the task menu.** Right-click a task to add an assignee or project, **Duplicate** it, **Share task**, **Remove dates** (send it back to Unplanned tasks), or remove it from the lane.
- **Avoid double-booking.** If you schedule a task over someone’s time off, a **Time-Off Conflict** message asks you to confirm. Choose **Schedule anyway** or **Cancel**.
- **Save a layout you reuse.** Save the grouping, filters, sort and display options as a saved view, and pin it to **Favorites**.

### Who can do what

What you can do on the Timeline depends on your role (see [User roles in Toggl](https://docs.toggl.com/user-roles-in-toggl?hsLang=en)) and your plan.

| --- | --- |
| Open the Timeline page | Every role except Guest. Guests can view the Timeline tab of projects they’re invited to, but can’t change anything. |
| Create, move, resize and delete your own tasks | Roles that can manage tasks: Organization Admin, Tool Admin, Manager and Member. Time Trackers can view the Timeline but not change tasks. |
| Create, move or edit tasks on a teammate’s row | The same roles, on Starter and above. On the Free plan, teammates’ rows are marked **View only**: you can work on your own row and the **No assignee** row. |

### Common questions

#### Why isn’t my task showing on the Timeline?

A task needs both a start and an end date that fall inside the dates you’re looking at. Tasks without dates are in the **Unplanned tasks** side panel. If the task has dates, check your filters. In the Tags grouping, the task also needs a tag. See Task not showing on the Timeline.

#### Why can’t I move or edit a teammate’s task?

On the Free plan, you can only change tasks on your own row and the **No assignee** row. Teammates’ rows are marked **View only**. Editing teammates’ tasks is included on Starter and above. If you’re on a paid plan and still can’t edit, your role may not include managing tasks. Ask your admin.

#### Why can’t I group by Projects, Tags or Teams?

Grouping by Projects or Tags is on Starter and above. Grouping by Teams needs the [Capacity Management add-on](https://docs.toggl.com/capacity-management-add-on?hsLang=en). Locked options show a star. If you’re inside a project’s Timeline tab, Projects isn’t offered because the view is already limited to one project. Open **Timeline** in the sidebar to group across projects.

#### Why does capacity show only for me, or not at all, for some periods?

On the Free plan, you see only your own capacity. On Starter and above, you see your teammates’ capacity for this week and this month, depending on your role. Other periods (next or last week, next or last month, and **Auto** at the Quarters or Years zoom) need the Capacity Management add-on. If the **Capacity** control is set to **Off**, no capacity is shown. To find out what reduces someone’s capacity, see How capacity is calculated.
