Payment methods, invoices and billing details

This guide is for organization admins responsible for paying Toggl. It shows where to maintain the details printed on future invoices, update the payment method, retrieve invoices for the organization's subscription, and what to do when checkout or a payment is blocked.

Open Manage billing to update the information Toggl uses to bill your organization and to download invoices for your subscription.

Only organization owners and admins who manage the subscription can open these pages.

Open Billing

On a paid organization:

  1. Click Manage billing in the sidebar.
  2. Open one of the three tabs:
Tab What it contains
Overview Plans, licenses, add-ons and billing cycle
Details Billing details and payment method
History Subscription invoices

You can also open Admin settings, then select Billing under Organization.

During a trial or on Free, the sidebar may show Upgrade instead. Billing details and payment information are collected when an admin starts a paid subscription. Checkout fills in the payer name, email and country for you, and the country comes from your account's location. Check them before you pay. If your organization has paid before, checkout uses the billing details already on file.

Update billing details

  1. Open Billing → Details.
  2. In Billing details, click Edit.
  3. Update the relevant fields:
    • Payer or company name
    • Billing email address
    • Country
    • State, where required
    • Postal code, where required
    • Address
    • VAT number, where applicable
  4. Click Save.

Add or correct a VAT number before the next payment. An invoice cannot be changed after payment has been completed.

Changes to billing details apply to future invoices; they do not rewrite invoices that have already been issued.

Update the payment method

  1. Open Billing → Details.
  2. Find Payment method.
  3. Click Edit.
  4. Enter the new payment details in the secure payment form.
  5. Click Save.

Billing details must exist before a payment method can be added. If they are missing, complete the Billing details card first.

The payment method card shows the current method. For a card, it shows the card brand, last four digits and expiry date. Other payment arrangements already attached to the organization, such as bank transfer or SEPA debit, are shown by name.

The payment options offered in the edit form depend on the organization's billing setup and location.

Find and download an invoice

  1. Open Billing → History.
  2. Find the invoice by its date, invoice number or amount.
  3. Click the invoice row to open the hosted invoice page, or click Invoice beside it to download the PDF.

An invoice only appears after it has been created. A future renewal or a pending license reduction does not create an invoice in advance.

Fix an expired card or failed payment

If a card is expired or a payment fails:

  1. Open Billing → Details.
  2. Click Edit under Payment method.
  3. Save a valid payment method.

A payment failure can temporarily disable plan changes. After updating the payment method, return to Billing → History to check the open invoice.

The in-app payment warning can also provide an Update card action. Processing may take a few minutes after the new card is saved.

Common questions

Why can't I see Billing?

Billing is limited to organization owners and admins who manage the subscription. Workspace-only admins and other members cannot view payment details or subscription invoices.

Why is History empty?

Invoices appear after Toggl creates them. A trial with no payment and an organization that has not started a paid subscription may have no invoices.

Can I change the name or VAT number on an old invoice?

No. Update Billing details before the next payment. Issued invoices are not rewritten after payment.

Where is the receipt?

Open the invoice row in Billing → History. The hosted invoice page contains the payment record, while the Invoice button downloads the invoice PDF.

Why can't I change plans after updating my card?

The open invoice may still be processing. Refresh Billing after a few minutes. If the invoice still requires attention, use the support option shown in the billing flow.

Why does checkout say payments are not available?

Some accounts can't be charged online. When that happens, checkout shows "Payments are not available for this account right now. Please contact support." instead of a retry button. Use the contact support link in the message to reach our Support team.
