Planned vs logged time in Toggl’s calendar
Use planned time to map out what you intend to work on, then record logged time to capture what actually happened. This guide explains how to create, compare and reconcile both types of time from the Timer calendar.
Planned time represents your intended schedule. Logged time records the work you actually completed. In Toggl 2.0, both can appear on the same calendar entry, but regular report and timesheet totals use the logged time.
Where to find planned and logged time
On the web or desktop app:
- Open Track → Timer.
- Select Calendar or Split from the view switcher.
- Use Split to display logged and planned time side by side.
The day headings and the bar above the calendar total logged and planned time separately. In the standard Calendar view, matching planned and logged time may be combined into one tile labelled Planned and logged.
The Timer page is available on all plans to members who can manage their own time entries. Guests cannot use the Timer page.
What is the difference?
| Planned time | Logged time | |
|---|---|---|
| Purpose | Shows what you intend to work on | Records what you actually worked on |
| Where it comes from | A plan you create, a task placed on the calendar or a connected calendar event | A running timer, a manually entered time log or a plan you convert using Log time |
| Reports | Appears separately in planning and forecasting views | Counts toward tracked-time reports and timesheets |
| Can it change independently? | Yes | Yes |
A single entry can contain both planned and logged time. Changing the actual logged duration does not automatically rewrite the original plan.
Add planned or logged time
- Click or drag across an empty period in the calendar.
- Add a task or description and any available project, tag or billable details.
- Use the Plan row and select Plan time to create planned time.
- Use the Log row and select Log time to create logged time.
In Split, the column where you create or drop the entry determines whether you start with planned or logged time.
Turn planned time into logged time
- Open a planned calendar entry.
- Select Log time.
- Complete any required fields if prompted.
Toggl copies the planned start time and duration to the logged side of the entry. The original plan remains, allowing you to compare it with the result.
If the work started later or took a different amount of time, open the logged side and edit its date, start time, end time or duration. This does not mark the related task as complete.
How connected calendar events behave
Events from a connected external calendar appear as planned time. Opening an event and selecting Log time creates logged time using the event’s title and scheduled duration. Calendar categorization rules may also assign the matching task, project, tags or billable status.
Logging an event manually does not remove its planned time. If automatic tracking is enabled, eligible events can be logged after they begin.
Does planned time count in reports?
Standard tracked-time reports and timesheets use logged time. Reports that support planning or forecasting can display planned or scheduled work as a separate layer, but it does not replace the actual time log.
Why do I see only one calendar tile?
When the planned and logged start times and durations match exactly, the standard calendar can combine them into one Planned and logged tile. Select Split to see the two sides separately.
Can I delete only the planned or logged part?
Yes. When an entry contains both, deleting one side leaves the other in place. Check the confirmation message before deleting: Delete planned and logged time removes both.
Next step: Open Track → Timer → Split and compare today’s planned and logged totals.
