Project Templates in Toggl 2.0

Project templates let you save an existing project’s structure and reuse it when starting new projects. This saves time on setup and ensures consistency across similar projects.

What is a Project Template?

A project template captures the key settings and structure of an existing project — including project members, billing, estimates, tags and tasks — so you can quickly replicate it without starting from scratch.

Project Templates are a paid plan feature

What’s Included in a Template?

When you create a template from an existing project, the following information is carried over:

Included Not Included
Project members Start and end dates
Tags Task due dates
Billing rates & estimates Timeline structure
Fixed fee settings Milestone dates
Task list with assignments & durations

How to Create a Template

  1. Navigate to your Projects list
  2. Find the project you want to use as a template
  3. Click the three dots menu (⋯) next to the project
  4. Select “Save as template”

Your template is now saved and available for future use.

How to Create a Project from a Template

There are two ways to start a project from a template:

Option 1: From the new project flow

  1. Click “Templates” on the projects list header
  2. Choose a template
  3. Click “Create project from template”

Option 2: Direct template selection

  1. Click “New Project”
  2. Select “Start from a template” in the modal header
  3. Browse available templates and use the preview to review details
  4. Click “Use template”

The new project will open immediately in edit mode so you can customise the overview and tasks.

Those steps create a one-off project. To create a recurring series from the same template, follow How to Create a Recurring Project from a Template.

How to Create a Recurring Project from a Template

A template can be reused for many recurring projects. Each series is a new project; the template stays in the list.

  1. Click the templates icon on the Projects list header, or click New Project and then Start from template
  2. Choose a template
  3. Check “Use as recurring project”
  4. Click “Continue”
  5. Set the cadence, budget, and rollover in the “Create recurring project from template” dialog
  6. Click “Create recurring project”

On a template, Recurring is created through these actions. The Recurring switch on Overview is for regular projects.

After Creating a Project from a Template

Once your project is created, you’ll likely need to:

  • ✅ Update the project name
  • ✅ Set the project start and end dates
  • ✅ Rebuild your task timeline with the relevant dates
  • ✅ Adjust any members, rates, or tasks as needed

Managing Your Templates

To view and manage all saved templates:

  1. Go to the Projects section
  2. Click the “Manage templates” button

From here you can review, edit, or delete existing templates.

FAQs

Why aren’t dates included in templates? In the first version of templates, dates have been intentionally left out to avoid complexity around automatically calculating task start dates and maintaining timeline structure. This may be revisited in a future release based on user feedback.

Can I edit a template after creating it? Yes — you can manage and edit your templates via the template management view in the Projects section.

Can I make the template itself recurring? Use “Use as recurring project” or “Create recurring project from template”. That creates a new recurring series and leaves the template in your list.

Why did an older recurring template leave the list? A template that was converted in place became a recurring series and now lives with your projects. New series created from a template stay separate, so the template remains.
