# Quickstart for team members

## This quickstart is for team members whose admin has already set up the workspace and invited them. It walks through the five things you need in your first week: signing in, tracking time, filing it under a project or task, checking your own report, and keeping your availability up to date. It links to the full page overview for each step, so you can start now and read more later.

You have been invited to a Toggl workspace as a team member (a **Member** or **Time Tracker**). To get going: sign in, open **Timer** in the sidebar, type what you are working on and click the play button. The rest of this guide shows you how to log time you forgot to track, put it under the right project, see where your time went, and keep your working hours up to date. ### 1. Sign in and check your workspace

1. Open the invitation email, follow the link, and sign in. If you already use Toggl Track, sign in with the same account. If you are asked to accept an invitation, click **Accept invitations**.
2. Check the workspace you are in. Projects, tasks, tags and time logs all belong to one workspace, and time tracked in one workspace doesn’t appear in another workspace’s reports. Use the workspace switcher at the top of the sidebar to change workspace.

### 2. Track your first time

Open **Timer** in the sidebar, under **Track**.

- **Start a timer.** Type a description in the timer bar, click **Project or task** to choose a project, task or subtask, and click the play button. Click stop when you finish. You can change the project, task and billable status while the timer runs or after you stop it.
- **Log time you forgot to track.** Click the switch beside the play button, or press **M**, to switch to **Log time** mode. Type a duration, or set a start and stop time, and press **Enter**.
- **Use the calendar.** Click an empty slot or drag across a range to add a time log. A time log can be time you already worked (logged) or time you have scheduled (planned). Connect your Google or Outlook calendar to see meetings next to your own time.
- **Repeat an earlier entry.** In **Log history**, open the three-dot menu on a time log and choose **Continue**.

A time log only needs a start time, so you can add the project and description later.

### 3. Put your time under the right project and task

- **Projects** hold related work. Open **Projects** in the sidebar, under **Plan**, to see the ones you are on. New projects are private: only their members and workspace admins see them. See [Overview of the Projects page](https://docs.toggl.com/overview-of-the-projects-page?hsLang=en).
- **Tasks** are pieces of work inside a project, with assignee, dates, estimate, priority and status. A task can also stand alone as a personal to-do. Open **Tasks**, under **Plan**, to see yours. See [Overview of the Tasks page](https://docs.toggl.com/overview-of-the-tasks-page?hsLang=en).
- **Tags** label time logs, tasks and projects. A time log linked to a task starts with the task’s tags.
- **Clients** group projects. Time logs connect to a client through the project, not directly.

If you can’t find a project or task in the timer bar, ask the project’s manager to add you, or check that you are in the right workspace. Tasks that are not assigned to anyone may not appear in views built around your own work, such as **My tasks**.

### 4. See where your time went

Open **Reports** in the sidebar, under **Analyze**.

- **Summary** report: how much time went on each project or client in a period. Good for questions such as “How much time did I spend on this project this week?”
- **Time logs** report: a line-by-line list of your time logs. You can filter it, edit several at once, and export it.

Members see only their own time in these reports. Managers and admins can see more. The Workload, Utilization and Profitability reports are on Premium and Enterprise, and only managers and admins see other people’s data in them.

### 5. Keep your availability and details up to date

Your working hours, time off and public holidays feed the Timeline, so your manager can plan work around your real capacity.

- **Work hours.** Set your weekly hours and a daily pattern.
- **Time off.** Add the dates you are away.
- **Public holidays** come from your organization’s holiday calendar and need no request.

To change your name, time zone, password, or sign-in options, open **Profile settings** from the avatar menu. ### 6. Submit your timesheet (only if your workspace uses approvals)

If your admin has turned on timesheet approvals (Premium and Enterprise), open the **Timesheet** view on the **Timer** page, fill in any missing time for the period, and submit it. Your approver can approve it or ask for changes. Once it is approved, the period is locked and you can’t edit it yourself. If you are not sure whether your workspace uses approvals, ask your admin.

### 7. Track from anywhere

Click **Download apps** in the sidebar to get:

- the **desktop app** (Mac and Windows), with activity recording, reminders and suggestions based on your activity;
- the **browser extension**, which adds a start button inside tools such as GitHub, Jira, Notion and Asana;
- the **mobile app**, for logging time on the go.

### Optional: set a goal

Goals are personal, recurring time targets, such as “at least 5 hours of billable work a day”. They live in the Goals widget on the **Timer** page, and you can have up to 4 active goals at a time. See [Goals in Toggl](https://docs.toggl.com/goals-in-toggl-2.0?hsLang=en).

### Quick tips

- Start simple: add detail to a time log later.
- Learn the shortcuts: **S** starts or stops the timer, **M** switches to Log time mode, and **Shift + ?** shows all shortcuts. See [Keyboard shortcuts](https://docs.toggl.com/toggl-2-0-shortcuts?hsLang=en).
- Keep task names consistent across projects so filters and reports stay easy to compare.

- \[ \] Sign in and confirm you are in the right workspace.
- \[ \] Track one time log with the timer and one with Log time mode.
- \[ \] Track time against a project or task.
- \[ \] Open the Summary report for this week.
- \[ \] Set your work hours and add any planned time off.

### Common questions

#### Why can’t I see Members, Approvals or Timeline in my sidebar?

The sidebar depends on your role and plan. Ask your admin if you need access to a page. See [User roles in Toggl](https://docs.toggl.com/user-roles-in-toggl?hsLang=en).

#### Why can’t I find my project or task in the timer bar?

Check you are in the right workspace, then ask the project’s manager to add you. Private projects are visible only to their members and workspace admins.

#### Why is my time log marked non-billable?

Billable status can be set on the time log itself, and it may start from the task or project. Open the time log and check the billable setting.

#### I started a timer on my phone. Where is it on the web?

Timers sync across the web, desktop and mobile apps, because they all use your Toggl account.
