Requesting time off
This guide explains how to take time off in Toggl, whether your workspace uses basic time off on a paid plan or the full request-and-approve workflow with the Time Off Management Add-on. You'll learn how to log or request leave, set partial days, delete or cancel an upcoming entry, and check your balance before you submit.
In Toggl, you can log your own days off on any paid plan. With the Time Off Management Add-on, time off becomes a request workflow: you submit a request against a leave policy, an approver reviews it, and your balance updates when the leave starts.
Open Time off in the sidebar, under Manage. Everyone except guests can open the page. On the Free plan, you see a preview with sample data.
What you see depends on your setup
| Plan | What you can do | Button label |
|---|---|---|
| Free | Preview only — sample data, with options to upgrade or start a Time Off Management trial | — |
| Starter and above (no add-on) | Log your own time off, see who's out | Log time off |

| With the Time Off Management Add-on (approvals off) | Log time off with policy, amount, and note | Log time off |
Log time off (paid plan, no add-on)
- Open Time off from the sidebar.
- Click Log time off on the Overview tab.
- Pick the start and end dates. Dates already covered by an existing entry are greyed out.
- Click Add time off.
The entry appears under Your upcoming time off and on your calendar. There's no approval step — the entry is saved immediately.
Delete logged time off
- Under Your upcoming time off, open the three-dot menu on the entry and choose Delete. You can also click the time off on your calendar, open its three-dot menu and choose Delete.
- A Delete time off? dialog explains that the time off will be removed from your calendar and that this can't be undone.
- Click Delete time off.
Request time off (Time Off Management Add-on)
When your workspace has the Time Off Management Add-on with approvals turned on, the button changes to Request time off.
- Open Time off from the sidebar.
- Click Request time off on the Overview tab, or click Request on a specific policy's balance card.
- In the New time off request dialog:
- Type: choose the leave policy (for example, Vacation or Sick leave). Archived policies are marked (Archived).
- Dates: pick the dates. A message shows how many days are selected. If a date already has time off, a tooltip warns you.
- Amount: set the amount for each day if you're not taking full days — for example, 0.5 for a half day. The total appears at the bottom. Weekends are excluded by default; you can adjust manually.
- Note: add an optional note, for example "Spring break."
- Check the projected balance message at the bottom: "New balance if approved: X days" (or "New balance after leave: X days" if approvals are off). If the policy restricts negative balances and your request would go below zero, you'll see a warning.
- Click Request time off.
What happens next
Depending on the policy's auto-approval rule, your request is either:
- Auto-approved: if it's under the policy's day threshold, it's approved immediately. You'll see a toast: "Time off request auto-approved." The entry appears on your calendar and your balance updates.
- Pending review: it waits for an approver. You'll see a toast: "Time off request sent." The status shows as Pending review under Your time off.
Edit or cancel an upcoming entry
With the Time Off Management Add-on:
- Open Time off from the sidebar.
- Under Your upcoming time off, click the entry you want to change.
- In the edit dialog:
- To change details, edit the fields and click Save changes. If the entry was already approved and approvals are on, the button reads Save and resubmit — this resets the status to pending and sends it back for approval.
- To cancel, click Cancel request (with approvals on) or Cancel time off (without approvals). A confirmation dialog asks you to confirm.
When you cancel, a toast confirms: "Time off cancelled."
Without the add-on, entries can't be edited. Delete the entry as described in Delete logged time off above, then log it again.
Check your balance
With the Time Off Management Add-on, the Overview tab shows your balance for each policy for the current year, plus a history of how it changed. Days come off a balance only when the leave starts, not when you book it — so your balance won't drop until your first day off.
Each policy card shows:
- Total taken — days used so far this year.
- X days available — your remaining balance (or Unlimited time if the policy is unlimited).
- X days planned — days booked for future dates.
- X days pending approval — days in requests waiting for an approver (shown when approvals are on).
FAQ
Why is the button called "Request time off" instead of "Log time off"?
Your workspace has the Time Off Management Add-on with approvals turned on. Requests go to an approver before they're added to the calendar. If approvals are off, the button says Log time off and entries are saved immediately.
Can I request time off that exceeds my balance?
It depends on the policy. If the policy allows negative balances, you can submit the request and the approver will see an overdraft warning. If the policy restricts negative balances, you'll see a warning in the dialog before you submit.
My balance didn't change after I booked leave. Is that wrong?
Days are deducted only when the leave starts, not when you book it. Your balance will drop on the first day of your time off.
Can someone log time off for me?
Yes. An admin or team lead can log time off on your behalf. With the Time Off Management Add-on, it's approved immediately and doesn't go through the request queue. You'll get an in-app notification and an email, and the entry appears under Your time off. You can cancel it from there if it's wrong.
What happens to my request if an approver rejects it?
You'll see the rejection reason under Your time off. The status shows Rejected with the approver's comment. You can submit a new request with corrected dates or amounts.
