Saved views in Toggl

Saved views store the filters, grouping, sort, date range, and layout on a page so you can reopen that exact cut of the data without rebuilding it. This article covers how to save, update, pin, copy, and delete a view, and what's remembered on task, project, Timeline, and report pages.

A saved view remembers the filters, grouping, sort, date range, and layout you set on a page, so you can reopen that exact cut of the data without rebuilding it. Saved views are personal — each member creates their own, in the workspace they’re working in — and you can pin any of them to Favorites in the sidebar for one-click access.

This article covers every kind of saved view in Toggl: tasks, projects, Timeline, and reports. Sharing a report with someone else is a separate step, covered in Sharing Reports Internally.

How to save a view

The same control is used on every page that supports saved views.

  1. Open the page and set it up the way you want it: filters, grouping, sort, date range, and any layout options on that page.
  2. Open the view picker in the page header (it shows the current preset or view name, with a chevron).
  3. Choose Save as new view.
  4. Give the view a name and, optionally, an icon.
  5. Save.

The picker then shows that name as the active view. Names have to be unique for you, per type of view — you can have a “This week” on Summary and another “This week” on Time Logs, but not two “This week” views on Summary.

Built-in presets (My tasks, Today, Summary, and so on) are not saved views. They are starting points. A saved view is one you created.

Update, pin, copy, or delete a view

Once a saved view is active, changing filters, sort, or grouping marks it as having unsaved changes (a small dot on the picker). Open the picker to either:

  • Update view — overwrite that saved view with what you see now. This can’t be undone.
  • Save as new view — keep the original and store the new setup under a different name.

Hover a saved view in the picker (or open its ⋮ menu) to:

  • Pin to favorites / Unpin from favorites — pinned views appear under Favorites in the left sidebar, above pinned projects. Pinning is per person.
  • Copy link — copies a URL that opens this view. The link is for you; it does not share the view with anyone else.
  • Delete view — removes the view. This can’t be undone. If you had shared that report, deleting the view also removes the share.

You can also search the picker, and it groups views saved on this page separately from views saved on other pages.

What a saved view remembers

A saved view stores the setup of that page at the moment you saved it. Typical contents:

  • Filters and grouping
  • Sort order
  • Date range (on reports and Timeline)
  • Chart and column layout, where the page has them
  • On the Projects list, column order, width, and visibility
  • On reports, settings such as rounding, currency, zero-time rows, and “view in my time”

Two things are not stored:

  • The current page of a table (pagination always starts over when you open the view)
  • Aggregation filters on reports — the chips that hide rows by a total, such as “Total time > 1h”. Those stay in the current session only, so they are not part of a saved view or a shared report.

Saved views do not change the underlying data. They only restore how you look at it.

Task views

On Tasks, the view picker includes built-in presets and any views you have saved. Presets:

  • My tasks — tasks assigned to you
  • Today — your tasks for today
  • Upcoming — overdue and upcoming, grouped by date
  • Pipeline — your tasks on the Board, grouped by status
  • Unplanned — your tasks with no dates
  • Done — your recently completed tasks
  • Archive — archived tasks

You can save a custom view from the list, the Board, or Archive. A saved task view keeps filters, sort, and grouping (for example: one client, grouped by assignee, sorted by priority).

The same pattern works inside a project: open the project and save a view from its Tasks, Board, or Timeline tab. Those views are scoped to that project.

Project views

On Projects, save a view of the project list: filters, grouping (for example by client), and the table’s column layout.

Open a project to save views of that project’s Tasks, Board, or Timeline, as above.

Timeline views

On Timeline (under Plan), a saved view keeps the grouping you chose — People, Projects, Tags, or Teams — along with filters and the rest of the Timeline setup. Grouping by Teams is available on plans and add-ons that include it; if you don’t have Teams grouping, that option simply isn’t in the picker.

A Timeline saved view does not change your tasks or projects. It only restores how the Timeline is organised.

Report views

Each report type has its own saved views. Saving a Summary view does not create a Time Logs view, and the other way around.

You can save a view on:

  • Summary
  • Time Logs (equivalent to Detailed report in Toggl Track)
  • Workload
  • Utilization
  • Profitability
  • Time Off

Workload, Utilization, and Profitability follow their usual plan rules (Premium and Enterprise). Time Off follows Time Off Pro. You can only save a view of a report your plan and role can open.

A report saved view keeps the period, filters, grouping, columns, and report settings (rounding, currency, zero-time rows, “view in my time”) that were on the page when you saved it.

Reports shared with you appear under Shared in the report switcher. Those are someone else’s views, not yours — you don’t edit them as saved views.
