# Scheduling report emails in Toggl

## On Premium and Enterprise, you can email a link to one of your saved reports every day, week, or month. The recipient opens the link in Toggl and sees the report as you do, with the numbers current at the moment they look.

Email-schedules for Reports are set in the web app. The email contains a link and a **View Report** button. For a PDF, CSV, or XLSX file, use **Export** on the report.

### Who can set a schedule

- **Plans:** Premium and Enterprise
- **Roles:** Admin, Manager, and Member
- **Where:** The web app, on a saved report you created

### Schedule the email

1. Open **Reports** and open a saved view you created. If the report is not saved yet, save it. If **Share** says the view has unsaved changes, update the view first.
2. Select **Share**.
3. To include other people, use the **Share** tab and add them: specific people, one or more teams, or everyone in the workspace. To email only yourself, add no one.
4. Open the **Schedule** tab.
5. Read **Who can receive this**. It says **Only you**, or **You and 1 other** / **You and N others**. Under **Only you**, **Share this view** is the link back to the **Share** tab.
6. Under **Frequency**, choose **Daily**, **Weekly**, or **Monthly**. Choosing one fills in **09:00**. Weekly starts on **Monday**, and monthly starts on day **1**. Change any of these.
7. **Weekly** asks for a **Day**. **Monthly** asks for a **Day of month**, from 1 to 28, so the day exists in every month. **Daily** has no day.
8. Under **Time**, choose the hour. The list runs on the hour, from **00:00** through **23:00**.
9. Under **Send to**, select at least one recipient. The list is you, plus the people, teams, and workspace that already have access. Nothing is selected until you choose. Select **You** when the email should reach only you.
10. Read the line under the fields. It restates the cadence, for example **Every Monday at 09:00. Recipients get a link to this report by email.** When the report uses a fixed date range, a second line names it: **Each email covers** that range.
11. Select **Schedule**.

A saved report has one schedule. Open the tab again and the button says **Update schedule**. Saving replaces the schedule that was there.

If someone is missing, the foot of **Send to** says **Missing someone? Share this view so they can receive it.** Add them on the **Share** tab, then return to **Schedule**.

### From Shared by me

Open **Reports**, then **Shared reports**, then **Shared by me**.

The **Schedule** column shows the cadence, such as **Daily · 09:00** or **Weekly · Mon 09:00**. A dash means there is no schedule. When a schedule exists but nobody left on it can receive the email, the cell also says **No recipients**.

Select that cell. **Sharing settings** opens on the **Schedule** tab, with the same fields and a status of **Active schedule** or **No active schedule**. The row menu’s **Sharing settings** opens the same dialog. Choose **Schedule** there.

### What the recipient gets

The subject line is **Your scheduled report:** and the report’s name. The message says the report is ready and that it opens with live data. **View Report** opens it in Toggl.

They see it with your access: the same data you would see, including projects and entries they could not open on their own. The hours and amounts are the ones in Toggl when they open the link, including time logged after the email went out.

### Rolling dates and fixed dates

A rolling period moves. **This week**, opened next week, is that next week, and **Last month** moves on with the calendar. A weekly email of a **This week** report covers a new week each time the recipient opens it.

A fixed date range stays put. Every email opens that same range, and the **Schedule** tab names it in **Each email covers…**.

A rolling period is the one that makes a repeating email cover new dates. A fixed range still sends, and it sends that same window every time. In both cases the numbers are current when the report is opened.

### Whose clock the hour uses

The hour is read in each recipient’s own time zone. A **09:00** schedule reaches a colleague in Lisbon at 09:00 Lisbon time and a colleague in Tallinn at 09:00 Tallinn time.

When a recipient has no time zone on their account, the email uses the time zone of the person who scheduled it. When neither account has one, that hour is UTC.

### Teams, the whole workspace, and access

**Send to** can name a team, or everyone in the workspace, once that team or the workspace has access on the **Share** tab.

Membership is checked each time an email is sent. Someone who joins the team or the workspace starts receiving it. Someone who leaves stops. The schedule does not need an edit for that.

Removing a person’s access stops their emails on the same check. A link from an earlier email no longer opens your report for them.

A public link is separate. People who open **Anyone with the link** are not email recipients. **Send to** lists you and the people, teams, and workspace that have access.

### Change or remove a schedule

1. Open **Share**, then **Schedule**, or select the **Schedule** cell on **Shared by me**.
2. Change the frequency, day, time, or recipients.
3. Select **Update schedule**.

**Remove schedule** stops future emails. The saved view stays, and so does who the report is shared with. **Remove schedule** stays available on every plan, including after the workspace leaves Premium or Enterprise.

While the workspace is on Free or Starter, or while the owner’s role can no longer schedule reports, the emails pause. The schedule stays as it was. Emails resume when the workspace is on Premium or Enterprise again and the owner is an Admin, Manager, or Member.

Deleting the saved view removes the shared report, and the emails stop with it.

### Why can’t I see the Schedule tab?

The tab is on a saved report you own, in the web app. On Premium and Enterprise it is there for an Admin, Manager, or Member. A Guest or a Time Tracker does not get it on those plans. A report someone else shared with you does not offer **Share**.

### Why is the Schedule tab locked?

The workspace is on Free or Starter. The tab reads **Report scheduling isn’t included in your plan.**

### Why is someone missing from Send to?

**Send to** lists you and the people who already have access. Add the person, the team, or the workspace on the **Share** tab. The note under the list, **Share this view**, opens that tab.

### Which dates will the email open?

A rolling period opens the dates that apply when the recipient looks. A fixed period opens the same dates every time, and the **Schedule** tab names that range. In both cases the hours and amounts are current when the report is opened.

### Can I schedule the report only to myself?

Leave the **Share** tab empty. **Who can receive this** reads **Only you**. Under **Send to**, select **You**.

### What happens when I remove someone’s access?

Their later emails stop, and a link they already have no longer opens your report. The same thing happens when they leave a team or the workspace the schedule sends to.

### What happens when the workspace leaves Premium?

The emails pause. The schedule remains, and **Remove schedule** still works. The emails start again when the workspace is on Premium or Enterprise and the owner can still schedule reports.
