Toggl FAQ for Toggl Track users: Get more from the time you track
For 20 years, Toggl Track has made time tracking simple and reliable. The new Toggl builds on that foundation by connecting tracking with tasks, planning, automated capture, workload, capacity, and profitability insights.
You can continue using Toggl Track—it will remain available and supported—or, whenever you’re ready, import your data into Toggl at no charge and explore its broader capabilities.
What is Toggl?
Toggl is the evolution of Toggl Track: the familiar time-tracking habit, now connected with planning and capacity management.
Your account, projects, and tracking history can come with you. What changes is what you can do with that data: keep tasks and time together, compare estimates with actuals, spot budget risks earlier, understand team capacity, and get clearer answers about profitability and utilization - in reports or through Toggl AI chat.
Who is Toggl for?
Toggl is for people who value simple, reliable time tracking but want to use that data for better planning and decisions.
- Solo users and small teams can keep tasks, estimates, and tracked time together instead of managing them in separate tools.
- Agencies, consultancies, and professional-services teams can use time data to understand project budgets, margins, utilization, workload, and capacity.
- Internal service teams can use the same data for resource planning, cost allocation, budgeting, and demonstrating their impact.
Is Toggl Track going away?
No. Toggl Track remains available and supported for existing users. Trying Toggl does not require you to stop using Toggl Track, and both products can be used side by side to evaluate if you want to move. There is no announced sunset date for Toggl Track.
Do I have to switch to Toggl?
No. You can import your data when you’re ready or continue using Toggl Track.
Importing is a copy, not a deletion: your source data remains in Toggl Track. If you want changes made after the import to flow between the products, you can enable live sync and choose its direction.
What will feel familiar in Toggl?
- The same Toggl account and login credentials
- The same Organization and Workspace structure
- Same clients, projects, tasks, tags, and time entries
- A simple start-and-stop timer and manual time entry
- Web, desktop, mobile, and browser-extension support
- Summary, Time Logs, Profitability and Workload reporting (although with some changes and improvements)
Your data does not appear automatically simply because you open Toggl. An admin needs to import it, or the data must be created or synced there.
What is different in Toggl?
- Planning and tracking together: Put tasks, estimates, planned work, and actual tracked time side by side.
- Richer tasks: Add assignees, dates, estimates, priorities, and statuses. Tasks power Timeline and capacity planning.
- More automated time tracking: Use desktop activity capture, auto-tracking rules, smart suggestions, browser-extension autotracking (the option to automatically start a timer when you visit selected websites), and auto log from connected calendars to reduce manual entry.
- Capacity planning: See scheduled work against working hours, time off, and public holidays.
- Deeper reporting: Use project dashboards and, on eligible plans, Workload, Utilization, and Profitability reports.
- Earlier budget signals: Compare estimates with actuals and receive project alerts before work exceeds its estimate.
- Ask Toggl: ask questions about workspace data in natural language. This feature is currently marked as beta.
- Time Off Pro add-on: Add a Time Off Pro module to create PTO policies, approve Time off and see balances. This data feeds into capacity calculations.
Which features are included with my plan?
A paid Toggl Track organization receives the equivalent Toggl tier and licensed seat count at no additional charge while its Track subscription remains active:
- Track Starter → Toggl Starter
- Track Premium → Toggl Premium
- Track Enterprise → Toggl Enterprise
Feature availability is not identical across the two products. Toggl Starter includes core time tracking, planning, project estimates, billable rates, alerts, and basic reporting. Workload, Utilization, Profitability, and labor-cost features require Toggl Premium or Enterprise.
How does Toggl help agencies, consultancies, and professional-services teams?
Toggl connects the time a team already records with the work it is planning.
Instead of rebuilding every answer in a spreadsheet or BI tool, eligible plans can show utilization, profitability, capacity, estimated-versus-actual performance, and margins directly in Toggl. The tracker becomes the foundation for planning work, protecting budgets, and making resourcing decisions.
Can Toggl tell us whether we can take on more work?
Yes. On paid plans, Timeline shows scheduled work against available capacity. Capacity can account for task estimates, working hours, time off, and public holidays.
Google and Outlook events can appear beside planned and tracked work on the Calendar. They can also be factored into capacity calculations if selected.
Premium and Enterprise plans add Workload and Utilization reports for a broader team-level view.
Can Toggl help us protect project budgets and margins?
Yes, with the features available on your plan.
Starter teams can compare project estimates with actual tracked time, use billable rates, and receive estimate alerts. Premium and Enterprise add labor costs, profitability reporting, margin targets, and deeper financial analysis.
This makes overruns easier to spot before the project review or client call, rather than only after the budget has been spent.
What happens to my data when I try Toggl?
The workspace importer copies clients, projects, tasks, tags, time entries, members, project estimates and dates, and supported rate and cost history into Toggl. Your original Toggl Track data remains in Toggl Track.
The import covers the whole workspace rather than selected projects. It works backward through the available history until it encounters a gap of 30 months. Alerts and reminders are not imported and need to be recreated at the moment.
During import, an admin can choose whether members receive Toggl access immediately. Afterward, check task assignments: imported unassigned tasks may not appear in a member’s default views.
Optional live sync can keep clients, projects, tasks, and time entries aligned after it is enabled. Members, rates, labor costs, alerts, and some tag data are not synchronized. Live sync uses last-write-wins behavior and propagates deletions, so choose one-way or two-way sync deliberately.
Can I return to Toggl Track after trying Toggl?
Yes. Toggl Track remains accessible, so trying Toggl does not lock you in.
Returning to Toggl Track is not a rollback of everything created in Toggl. New data appears in Toggl Track only when the relevant Toggl → Track live-sync direction is enabled and that data type is supported.
Will trying Toggl change what I pay?
Not by itself. Paid Toggl Track organizations receive the equivalent Toggl tier and licensed seat count without a second purchase while the Toggl Track subscription remains active.
Choosing a higher tier or adding a paid module can change the subscription price. Changes to the organization’s shared subscription can also affect access across both products.
How do I get started?
Sign in to Toggl with your existing Toggl Track account. An organization admin can then:
- Import the Toggl Track workspace data.
- Review imported projects, task assignments, members, rates, and history.
- Recreate alerts and reminders where needed.
- Optionally enable one-way or two-way live sync.
- Keep both products running side by side while the team evaluates the new workflow.
