Custom Logo and PDF Watermark on Report Exports
Put your own organization logo on exported PDF reports, and control whether the "Report generated by Toggl" note appears at the bottom.
On the Free plan, PDF exports always show the Toggl mark and the footer note. On Starter, Premium and Enterprise you can replace the logo with your own and switch the footer note off.
What PDF branding is
When you export a Summary or Time logs report as a PDF, the file carries two pieces of branding:
- A logo in the top-right corner of the header — your organization's own image when you've uploaded one, and the Toggl mark when you haven't. A report shows one logo, never both.
- A footer note at the bottom — "Report generated by Toggl" — a single line at the very end of the document.
✅ Note: This branding applies to PDF exports only. CSV and XLSX exports are unaffected.
Adding your organization logo
The logo is set once for the whole organization — every workspace in it uses the same image. Only organization admins on a paid plan can change it.
- Go to Settings → Toggl 2.0 settings → Organization.
- In the Organization name and image card, click the image tile.
- Pick a PNG or JPG file, up to 1 MB.
- The logo is live immediately — your next PDF export carries it.
Use Replace in the same tile to swap the image, and Remove to delete it. Removing the logo brings the Toggl mark back in the header.
You can also manage the image from the Admin Console, on your organization's overview page — it's the same logo either way.
✅ Note: Your own logo is never turned into a link. The Toggl mark, when it's the one shown, links to the Toggl 2.0 page.
Turning off the "Report generated by Toggl" note
The footer note is a per-workspace setting, and workspace admins and managers on a paid plan can change it.
- Go to Settings → Toggl 2.0 settings → PDF reports.
- Switch Show "Report generated by Toggl" footer note off.
- Export a report — the note is gone from the PDF.
⚠️ Important: Upgrading to a paid plan does not remove the note by itself. The setting stays on until an admin switches it off, so if you still see the note after upgrading, this is the switch to check.
If your organization has several workspaces, repeat this in each one — turning the note off in one workspace does not affect the others.
On the Free plan the PDF reports settings are still visible, but the switch can't be changed.
What happens when your plan changes- When a paid plan ends or a trial expires, the footer note comes back automatically and PDF exports fall back to the Toggl mark in the header.
- Your uploaded logo is not deleted. It stays on the organization and starts appearing on exports again as soon as you're back on a paid plan.
- Your footer-note choice is remembered too, so re-upgrading restores the setting you had. You can always switch the note back on, on any plan.
- Branding is decided when the PDF is generated, so a logo uploaded or a switch flipped after an export doesn't change a file you already downloaded — export again to get the new version.
- The logo is organization-wide, while the footer note is per workspace. That's deliberate: one brand for the company, one choice per team.
- Report content, filters, and the currency shown are unaffected by these settings — they only change the header and footer of the document.
- After downloading a PDF, Toggl may prompt you to add a company logo. It's the same setting described above; you can dismiss it and set the logo whenever you like.
