Member-level custom fields

Member-level custom fields let admins attach structured metadata—like role, seniority, certifications, or cost tier—to workspace members, with edit access limited to admins and read-only access for managers. Once filled in, these values become filterable and group-by dimensions across the Members list, Timeline, and Summary and Time Logs reports, rounding out custom fields alongside the existing project- and task-level ones.

What are member-level custom fields?

Member-level custom fields let admins attach structured metadata to the people in your workspace: things like role, seniority, certifications, tool expertise, cost tier, or an employee ID. Once filled in, those values work as filters and group-by dimensions across Toggl 2.0, so resourcing questions like "who has NetSuite expertise, works in manufacturing, and has hours free next week?" become one filtered view instead of a spreadsheet next to Toggl.

Together with project-level and task-level custom fields, this completes custom fields across all three entities: the work, the tasks, and the people doing them.

Who can use member custom fields?

Access is deliberately stricter than for project and task fields, because member fields can carry sensitive information:

  • Workspace admins can create, edit, and delete field definitions, and edit any member's values.
  • Workspace managers can view values, read-only.
  • All other roles cannot see member field values anywhere in the product.

Per-field visibility settings are on the roadmap but not available in this release.

Setting up member custom fields (admins)

  1. Open Settings 
  2. Go to Custom fields.
  3. Click New field and choose Members as the target.
  4. Give the field a name, choose a type, and (for Select / Multi-select) add the list of options.
  5. Save.

Filling in values on a member

You can fill in values in two places:

  1. On the member details page, or
  2. Inline on the Members list.

Fields without a value are simply blank; nothing is required by default.

Filtering, grouping, and reporting

  • Members list: show any member field as a column via the column picker, and filter the list by its values.
  • Timeline / capacity: filter by member fields alongside the existing team and member-tag filters. The filter narrows both the roster and the rows, so capacity totals always match the filtered set.
  • Reports: member fields are available as a group-by dimension and as a filter on the Summary and Detailed reports, next to project and task fields. Exports include the field and option names. ⚠️ Time Log report support was a known gap at launch and is planned — check status before publishing and phrase accordingly.

FAQ

Who can see the values I enter?

Workspace admins (edit) and workspace managers (read-only). No other role sees member field values anywhere.

Can I filter the Members list or Timeline by a checkbox field?

Not yet — checkbox fields and "is empty" can't be used as filters on the Members list and Timeline. Both work normally in Reports.

What happens to my reports if I change someone's value?

Reports apply a member's current field values to all of their historical time data, so changing a value re-groups that member's past entries under the new value.

What happens when someone is removed from the workspace?

Their field values are hidden immediately. If they're re-added, the values are restored.
