Using the Timesheet view

The Timesheet view gives you a structured, grid-style way to log and review your time across the week. Instead of interacting with individual time entries on a calendar, you see all your tasks laid out in rows with day columns — making it easy to fill in hours quickly and get a clear picture of where your time went.

Navigating the Timesheet view

To access the Timesheet view, open the Calendar tab and select Timesheet from the view options at the top.

This view inherits how many days you see based on your Calendar view setting. 

You can use the navigation arrows to move forward or backward in time.

Grouping your Timesheet

Click Group by at the top of the Timesheet and choose how rows are organized:

  • Task — the default flat list
  • Project — task rows grouped under their project
  • Client — rows grouped under the client their project belongs to
  • Client & Project — two levels: each client contains its projects, and each project contains its task rows

Your choice is saved per workspace, so the Timesheet opens the way you left it.

Group totals: Each group header shows the total logged time for that group, per day and for the whole week, so you can read a client's or project's totals at a glance without expanding it.

Expanding and collapsing groups:

  • The Timesheet opens with all groups collapsed for a compact overview. Click a group header to expand it one level at a time.
  • Expanded groups are remembered while you work — switching to the Calendar or List view and back keeps your place. Refreshing the page or changing the grouping collapses everything again.
  • Rows with unsaved (pink) changes stay visible: their group remains expanded until you save, and new unsaved rows collect below the groups until they're saved into the right group.

Good to know:

  • Grouping only changes how rows are organized on screen — your time entries themselves are not modified.
  • Submitted and approved timesheets display with grouping too, read-only as usual.

Logging time

Adding time to an existing task:

  1. Click the cell for the day you want to log time for.
  2. Type a value. You can use hours (e.g. 1, 1.5, 2.5) or minutes (e.g. 60 m, 90 m).

Always include a unit, or use whole numbers for minutes, to avoid ambiguity.

Creating a new Time Log from the Timesheet:

  1. Click + Add Time Log at the bottom of the list.
  2. Type your Time Log Descrippoon and select or create the log
  3. Enter a duration in the relevant day cell.

When a time log is created this way, its time entry automatically starts at 8:00 AM — see the FAQ below for why.

Expanding rows to see and edit details

Each row has a chevron on the left. Click it to expand the row and see the individual time entries that make it up. From there you can:

  • Add a description to any entry
  • Change its duration
  • Toggle its billable status
  • Add additional entries under the same task

This is useful when you've worked on the same task multiple times in a day and want to break down what each block was for, without leaving the Timesheet.

Permanent vs. temporary rows: Rows you've added but not yet saved appear in pink. Saved rows appear in black. Temporary rows disappear automatically if you refresh the page or navigate away — no need to delete them manually.

Saving your changes:

  • New (pink) rows — changes aren't saved automatically. Fill in the task, project, description, duration, and billable status in any order, then click Save to commit them.
  • Existing (black) rows — changes save automatically as you make them. There's no Save button; edits commit as soon as you make them.

New rows need several fields filled in before they make sense, so Toggl 2.0 waits for you to confirm. Existing rows are already complete, so edits commit immediately.

How time logs are managed

Multiple entries for the same task on the same day: If a task has more than one entry on a given day, the row shows the combined total. Expand the row to see the individual entries — each can have its own description, duration, and billable status. If you reduce the total time shown in a collapsed cell, Toggl 2.0 reduces the most recent entry first, down to zero, before adjusting earlier entries.

Note: Time logs created via the Calendar tab or List view follow the timings they were created at.

Taskless entries: You can log time against a project without assigning a task. These entries appear in the Timesheet with just the project name and no task — useful for ad-hoc work that doesn't fit an existing task.

Empty rows: If you add a task row but don't log any time against it, the row is treated as temporary and appears in pink. Refreshing or navigating away removes the empty row; the task itself isn't deleted, it just won't remain on the Timesheet until it has a time entry.

Deleting a row: Hover over the row and click the x on the far right, then select Delete when prompted. Confirming deletes all time entries for that task within the current view. This action cannot be undone.

Billable status and tags

Billable status can be set at two levels:

  • Per row — toggle billable for an individual entry inside an expanded row. Each entry under the same task can be billable or non-billable independently.
  • When adding a new entry — set billable status as you create the entry, before saving.

If a task has multiple tags, only a summary is shown by default. Hover over the tag indicator to see all associated tags.

Copying time from a previous week

Two options pre-fill the current week based on last week's data:

  • Prefill projects and tasks — brings over last week's task rows, leaving all time cells empty. Use this when your tasks are similar week-to-week but the hours vary. Any rows you leave empty will still disappear on refresh — fill them in to keep them, or run this again.
  • Copy projects and entries — copies both the task rows and the logged hours from last week. If you've already entered time for the current week, the copied data is added on top of what's already there. Use this when your time allocation is consistent week-to-week and you want a fully pre-filled starting point.

Sync with other views

Changes you make in the Timesheet view are reflected in real time across the List view and the Calendar view, and vice versa — no need to refresh or switch views to see updates.

FAQ

Why did my row appear in pink? Pink rows are temporary and haven't been saved yet. Click Save to commit them. If you refresh before saving, they'll disappear.

Why did my task row disappear after I refreshed? If no time has been logged against a row, it's treated as temporary and won't persist after a refresh or navigation. The task itself still exists — re-add it and log time to keep it visible.

Why does a new time entry always start at 8:00 AM? When you create a time entry from the Timesheet view rather than the Calendar, there's no specific start time associated with it. Toggl 2.0 defaults to 8:00 AM so the entry appears at the top of your day when you open the Calendar view, rather than being hidden at an unexpected hour.

What happens if I reduce time on a task that has two entries on the same day? Toggl 2.0 reduces the most recently created entry first. Once that entry reaches zero, further reductions apply to the earlier entry.

Can I change the task or project on an existing entry? Not yet. You can edit the description, duration, and billable status of an existing entry, but the task and project can't be changed inline at the moment. Delete the entry and create a new one if you need to reassign it.
