Why can't I see a page or feature?

This guide is for anyone who can't find a page, tab or button they expected to see in Toggl. It explains the three usual reasons, which are your access level, your plan and Beta access, and lists who sees each sidebar item, including the new Capacity page. You'll be able to work out why something is missing and what to ask your admin.

A page or feature is missing for one of three reasons: your access level doesn't include it, your organization's plan doesn't include it, or it is a Beta feature that isn't turned on for your workspace yet. Check them in that order. Each page below lists who sees it.

Quick checks

Check What to look at What to do
Access level Your access level in this workspace. Admins can see it in the Access column on the Members page. Ask a workspace or organization admin to change your access level if you need the page. See Access levels in Toggl.
Plan Locked features show an upgrade star or an upgrade prompt. Admins can see the plan under Manage billing or Upgrade in the sidebar. Admins can compare plans in Toggl plans: what's included. Other members can ask their admin.
Beta The page or tab is labelled Beta, or the guide for it says it is Beta. Beta features are turned on for selected workspaces. If you don't see it, it isn't available to your workspace yet.
Workspace The workspace switcher at the top of the sidebar. Switch to the workspace where you expected to see it. Access levels and plans can differ between workspaces.
App Whether you're in the web, desktop, mobile app or extension. Some pages exist only on the web and desktop. See Which Toggl app should I use?

Who sees each sidebar item

Timer Everyone All plans
My activity Desktop app users only All plans

Timeline Everyone except Guests. Guests can open the Timeline tab inside projects they're invited to, read-only. Included in paid plans.
Members Access levels that can manage members or teams: organization admins and workspace admins. All plans
Approvals Workspace admins, and anyone named as an Approver on a timesheet setup. People who only submit timesheets don't see it and submit from the Timesheet view instead. Premium and Enterprise. On lower plans, workspace admins see Approvals with an upgrade star.
Time off Everyone except Guests All plans see a page. On Free it opens a preview with sample data. Balances, approvals and policies need the Time Off Management Add-on.
Capacity Everyone except Guests. Workspace and organization admins on a paid plan can start a 30-day free trial of the Capacity Management Add-on here, or buy it. Members can let their admin know. Paid plans, with the Capacity Management Add-on or its trial. On Free, the page shows an upgrade prompt.
Favorites Everyone. Each person's pinned projects appear here, and you can hide ones you don't want. All plans
Toggl AI Everyone with access to the feature Starter and above
Admin settings (cog) Access levels that can view workspace settings: workspace admins and managers. A regular member doesn't see it. All plans. Individual sections can be locked by plan.
Manage billing Organization admins, when the organization is on a paid plan and not on a trial Paid plans
Upgrade Admins who can manage the subscription, while the organization is on a trial or there is a higher plan to move to Not shown on the highest plan
Import data People who can manage imports, when the organization has Toggl Track or Toggl Plan data to import. It disappears after you hide it or after an import completes. All plans
Download apps Everyone All plans

Personal settings, such as your profile, password and timezone, are in the avatar menu, not the sidebar cog. The cog opens Admin settings.

Tabs and buttons inside a page

The same three reasons apply inside pages.

  • Access level. On the Members page you only see the tabs your access level allows.
  • Rates. Members don't see billable rates or labor costs unless an organization admin turns on Rates access for them on their member details page in Members.
  • Plan. A feature your plan doesn't include shows a lock, a star or an upgrade prompt. Admins see an option to upgrade, and other members see a prompt to ask their admin.
  • Beta. Beta tabs, reports and exports are labelled Beta and appear only for workspaces in the rollout.

Common questions

I'm an admin and I still can't see Approvals

Approvals is part of Premium and Enterprise. On a lower plan you see it with an upgrade star, and clicking it opens an upgrade prompt. If you're on Premium or Enterprise and still don't see it, check that you're a workspace admin in this workspace, or that someone named you as an Approver on a timesheet setup.

I'm an approver but I can't see Submit on behalf

Submitting, resubmitting or withdrawing a timesheet for another member is limited to workspace admins. Approvers who aren't workspace admins can still review the timesheets assigned to them, but don't see these actions. If you are a workspace admin and still don't see them, check the following:

  • It's your own timesheet. On-behalf actions aren't offered on your own timesheet. Submit it the normal way from the Timesheet view.
  • You're on the wrong tab. Submitting several timesheets at once is only available on the Not submitted tab. Timesheets with changes requested have to be resubmitted one at a time.
  • The first approver has already approved. Withdraw submission is only available while the timesheet is waiting for the first approver.

See Timesheet Approvals in Toggl.

My teammate sees a page I don't

Access levels are set per workspace, so first check you're both in the same workspace. If you are, the difference is almost always access level. Ask an admin to compare your access levels on the Members page.

I can see a page but a report or setting inside it is locked

The page is available on your plan, but the feature inside it needs a higher plan or an add-on. For example, the Workload, Utilization and Profitability reports need Premium or Enterprise. The forecast layers in reports need the Capacity Management Add-on. Admins can start a free trial from Capacity in the sidebar. See Capacity Management Add-on and Time Off Management Add-on.

I downgraded and things disappeared

Features that need a higher plan become locked, but your data is kept. See What happens to features and data when you downgrade.

Why does my sidebar show fewer items than the guide describes?

Check your access level and plan first, using the table above. Then check that you're in the workspace and the app you expect.
