Overview of the Reports page

This guide is for everyone who uses Toggl reports — members checking their own time, managers reviewing a team, and admins looking at the whole workspace. It describes the Reports page: the report switcher, the filters and date range every report shares, saved views, sharing, and export. By the end you will know which report to open for each question, what your role lets you see, and where to find the step-by-step for each report.

The Reports page is where you analyse tracked time. Open Reports in the sidebar, under Analyze. It is available on every plan, but which reports you see depends on your plan and your role. The page is on the web and desktop apps; the mobile app shows the Summary report only.

The page has one control bar at the top, shared by every report, and a report switcher on the left. Pick a report, set a date range, narrow it with filters, group the chart and table the way you want, then share or export the result.

The reports

Reports that your plan or role doesn’t include show a grey star and an upgrade tooltip. On a trial, the report is reachable with a trial star.

What you can do here

  • See where your time went — open the Summary report, set the period, and read the totals and breakdown.
  • Review individual time logs — open the Time logs report to see, edit, bulk-edit or export every entry.
  • Check team capacity — open Workload to see who is over or under their available hours.
  • Measure utilization — open Utilization to compare logged time against available capacity and your target.
  • Track profit — open Profitability to see revenue, cost, profit and margin by project or client.
  • Review leave — open Time off to see worked hours versus leave for each member.
  • Save a cut you reuse — save the filters, grouping and date range as a saved view, and pin it to the sidebar.
  • Share a report — share with a member, team or the whole workspace. Recipients see exactly what you see.
  • Export — download as CSV for a spreadsheet or PDF for a client.

A shared report overrides these rules: a recipient sees the data through the owner’s permissions, including report types they would not normally reach. See Sharing reports. 

Common questions

Why can’t I see the Utilization, Workload or Profitability tab?

Those reports are on Premium and Enterprise. On a lower plan, the tab shows a grey star and an upgrade tooltip. On a trial, the tab is reachable with a trial star. If your plan includes the report and you still don’t see it, your role may not include the permission to view team-level data. Ask your admin.

Why does my report show different numbers from my colleague’s?

Reports follow your role. A member sees only their own time; a team lead sees their team’s; an admin sees everyone’s. If a report was shared with you, you see it through the owner’s permissions, not your own. See Sharing reports. 

How do I put my logo on a PDF export?

Upload a logo once for the organization in Admin Settings → Organization. On the Free plan, PDF exports keep the Toggl logo and footer. See Custom logo and PDF watermark on report exports.

Can I round time in reports?

Yes. Set a rounding rule and interval in the report’s cog settings. See Rounding in reports.
